Requirements

  • Completion of a medical terminology course is required.
  • A state criminal background check, and a federal check if applicable, is required for regulated work areas based on the physical work location.
  • Two years of medical office experience are required.
  • The ability to sit for extended periods is required.
  • Strong written and verbal communication skills are required.
Responsibilities
  • Schedule, cancel, reschedule, and register outpatient visits and procedures for multiple ambulatory clinics by collecting all necessary scheduling and registration information.
  • Check in and check out patients in accordance with scheduling and registration guidelines, prioritizing according to patient needs.
  • Complete referrals and prior authorizations.
  • Schedule and register patients based on scheduling guidelines and medical appropriateness within the appropriate clinic.
  • Coordinate follow-up appointments and testing with patients at checkout.
  • Obtain and collect the information needed to schedule and register patients for appointments.
  • Identify and communicate scheduling modifications and development needs.
  • Notify appropriate personnel promptly of scheduling changes caused by patient cancellations.
  • Respond appropriately to patient and staff needs and complaints within the patient-care environment, involving department supervisors and patient representatives as needed.
  • Consult referring physicians’ offices to ensure written or electronic orders exist, obtain missing orders, verify their completeness, and document requests for outside orders.
  • Collect time-of-service payments and copayments during check-in and checkout.
  • Reconcile the cash drawer and its contents at the end of the day and report discrepancies to the supervisor or manager.
  • Collect all required managed-care waiver signatures at check-in.
  • Complete work queues and daily tasks in a timely manner according to the assigned scheduling area.
  • Respond to all patient communications in a timely manner.
