Requirements
  • A high school diploma or GED with concentration of courses in Secretarial Science, an associate degree in Healthcare or Business Administration, or at least 5 years of experience in lieu of a degree is required.
  • At least 3 years of administrative or clinic management experience is required.
  • Competence in applying general operational and personnel practices, accounting and budgeting principles, and coordinating clinic administrative functions is required.
Responsibilities
  • Organize, monitor, and control the business operations of the physician medical practice and provide overall administration and coordination of department activities and programs, including Finance, Administrative, Compliance, Revenue Cycle, Technical/IT, and Human Resources in the ambulatory setting.
  • Maintain standards of PCMH accreditation for the medical office when applicable.
  • Ensure patients receive timely appointments, have access to information, and have clear communication with providers.
  • Improve workflow efficiency by utilizing technology and improving how patient care is shared within the team.
  • Communicate operational, policy, and procedural updates to the physician and staff.
  • Assign staff to appropriate tasks so medical practice calls are promptly answered and screened, messages are accurately recorded, and messages are distributed to appropriate personnel.
  • Serve as the HIPAA Privacy Officer for the practice.
  • Ensure all staff complete required HealthStream training in a timely manner.
  • Report suspected privacy breaches promptly to the Physician Enterprise Privacy Officer.
  • Achieve EPIC Super User status.
  • Collaborate with Human Resources to interview and select medical practice staff.
  • Assist with new employee onboarding and schedule new employee orientation.
  • Communicate Human Resources policies and procedures continually.
