Responsibilities
  • Represent the School of Medicine in interactions with faculty, students, community physician preceptors, and ancillary health providers regarding curricular implementation.
  • Anticipate the needs of faculty, staff, and students; analyze workflow; and establish communication systems to ensure a smooth educational experience.
  • Ensure that course lectures, problem-based learning sessions, and small-group sessions begin on time, and attend the start of all sessions.
  • Analyze and resolve complex student issues and concerns involving courses, anticipated or unanticipated absences, and faculty issues.
  • Analyze and interpret policy and program protocols, collaborate with the course director on resolutions, and determine appropriate actions for student correspondence.
  • Analyze course grading data, produce reports, and prepare recommendations for course directors regarding student grades.
  • Oversee course evaluations; review student and faculty data; produce, edit, and format factual reports about course content and instructors; and recommend improvements and implementation strategies.
  • Ensure timely and accurate assignment and communication to faculty and students regarding curriculum changes.
  • Create and maintain relationships with University service offices to ensure proper execution of teaching activities.
  • Collaborate with faculty to prepare students for sessions, including compiling and editing syllabus materials and coordinating timely communications.
  • Manage the online examination program for designated courses, collaborating with the Information Analyst and Information Technology Department to create, score, and publish examinations.
  • Ensure timely and accurate assignment and communication regarding pathway curriculum changes, and maintain relationships with faculty and course or clerkship directors to execute pathway activities.
  • Provide course directors with direct curriculum-related support.
  • Compose and distribute non-routine and confidential correspondence and process administrative requests.
Desired Qualifications
  • One to two years of advising experience and program management in higher education.
  • Experience with student information systems.
  • Three years of relevant administrative experience.
  • Excellent communication and interpersonal skills.
  • Skilled with Microsoft Office software, including Outlook, Word, Excel, and PowerPoint.
  • Proficiency in database management and reporting software.
  • Ability to multitask, solve problems, and prioritize immediate and long-term tasks and projects.
  • Ability to work autonomously and as part of a team to improve office functions and efficiency.
  • Ability to plan, implement, and analyze programs; think and act independently; work effectively with students and members of the medical education team; and communicate and organize effectively in oral and written form.
