Requirements
  • Successful completion of coursework in legal terminology and legal office procedures from an accredited school and one year of legal clerical experience involving preparation and processing of legal documents or providing legal clerical support to an attorney; alternatively, one year with Pima County in a Court Case Management Generalist, Legal Secretary-Courts, or related position as determined by the department head at recruitment. Relevant experience and/or education from an accredited college or university may be substituted.
  • Qualifying education and experience must be documented in the Education and Work Experience sections of the application.
  • A valid driver license is required at application; a valid Arizona driver license is required at appointment.
  • The successful applicant must pass a 39-month Department of Transportation motor vehicle record review and receive Fleet Services approval of the driving record.
  • The successful candidate must complete a post-offer, pre-employment background screening, including verification of work history, education, and criminal conviction history. Some positions may require a satisfactory personal background investigation.
Responsibilities
  • Gather information, prepare legal documents, type legal forms, correspondence, documents, and depositions, and ensure legal requirements and deadlines are met.
  • Conduct computer searches using restricted-access resources to obtain or validate information such as prior criminal histories, asset information, credit histories, financial assets, residence, and employment.
  • Review received materials, set up files, and initiate paperwork.
  • Transcribe electronic dictation and prepare legal reports, correspondence, and forms.
  • Prioritize, assign, and review the work of other litigation support staff.
  • Search for, retrieve, and provide case disposition information to concerned parties using manual and automated systems, and determine further action as required.
  • Prioritize trials and set up and maintain calendars of hearings, trials, depositions, and response times on pending litigation.
  • Compile statistical data concerning unit operations and prepare periodic and special reports.
  • Process motions for continuance, suspension, or dismissal through the court system.
  • Review case files for completeness and contact appropriate agencies or parties to verify information and obtain missing documents.
  • Coordinate work activities with other sections or divisions.
  • Create and maintain records and client files, and input and retrieve information using computer systems.
  • Assist judges in court by docketing case information into the computer system.
  • Operate office equipment, including computers, facsimile machines, photocopiers, and calculators.
Desired Qualifications
  • Experience using a court case management system, preferably the Arizona Judicial Automated Case System (AJACS).
  • Experience preparing and processing civil legal documents.
  • Experience providing clerical support and customer service in a court setting.
  • Experience multitasking with a high-volume workload.
  • Bilingual ability in English and Spanish.
