Requirements

  • Experience in personal injury, mass tort, or legal-services intake.
  • Bilingual English/Spanish capability or experience managing bilingual or Latin American nearshore operations.
  • Direct experience managing nearshore and/or business process outsourcing teams, including service-level agreement definition, vendor management, scorecards, and capacity and ramp planning.
  • A proven track record managing large remote or distributed teams and meeting service levels across multiple sites and time zones.
  • Working command of intake-operation systems, including customer relationship management or case-management platforms, dialers and telephony, lead routing, e-signature, and workforce-management tools.
  • Fluency with intake and contact-center metrics and ability to turn data into action.
  • Strong people-leadership and coaching skills.

Responsibilities

  • Manage a large, multi-site intake team of in-house and remote staff, including team leads, supervisors, and intake specialists across time zones.
  • Own daily service levels, staffing coverage, and schedule adherence across a high-volume, extended-hours operation that often runs 24/7.
  • Coach and develop supervisors; build career paths, performance plans, and a culture of accountability and empathy toward injured clients.
  • Own day-to-day relationships with nearshore and business process outsourcing vendors, define service-level agreements, key performance indicators, and vendor scorecards, and hold partners accountable.
  • Lead vendor selection, onboarding, ramp planning, and capacity forecasting; partner on hiring profiles, training curricula, and quality calibration.
  • Manage bilingual English/Spanish intake coverage and ensure consistent quality and compliance across sites and vendors.
  • Conduct regular weekly and quarterly business reviews and drive continuous improvement in cost per signed case and conversion.
  • Define, track, and improve intake key performance indicators, including speed to lead, contact and connect rates, lead-to-retainer conversion, sign-up and retention rates, abandonment, and quality scores.
  • Build dashboards and reporting that give leadership real-time visibility into the pipeline, funnel drop-off, and vendor performance.
  • Diagnose funnel bottlenecks and run experiments to increase conversion and reduce time to sign.
  • Serve as operational owner of the intake technology stack, including customer relationship management and case-management systems, lead management and routing, telephony and dialer, e-signature, and workforce-management tools.
  • Design and document intake workflows, call scripts, screening criteria, disqualification logic, lead routing, and follow-up cadences.
  • Partner with cross-functional stakeholders to configure and optimize systems, automate manual steps, and ensure clean data flow from first contact through signed retainer.
  • Build and maintain a quality-assurance and call-monitoring program with scorecards, calibration sessions, and coaching feedback loops.
  • Work with Marketing on lead quality, source performance, and speed-to-lead handoffs.
  • Coordinate with Case Management and Legal on case handoffs, sign-up packets, and documentation standards.
  • Ensure the operation complies with applicable rules on client solicitation, consent, call recording, and data privacy.

About the Company

EvenUp

Builds AI software for personal injury lawyers

EvenUp builds AI software for personal injury law firms, the lawyers who represent people hurt in car crashes and other accidents, with tools for each step from intake to trial. In 2020, it was among the first companies to use AI to draft demand letters, the packages that lay out a victim's injuries, medical bills, and losses to open settlement talks with insurers. Its software, trained on past injury cases and medical records, reads long medical files to build treatment timelines, spot missed damages, and draft demands and court filings. Lawyers can also ask questions about a case through its Companion assistant, and firms pay a set price per case for the platform. EvenUp was founded in 2019 and is based in San Francisco.
