  • A high school diploma, GED, or higher-level degree is required.
  • Medical Assistant course completion is required if hired after March 1, 2025.
  • American Heart Association Basic Life Support certification is required.
  • At least one year of experience in a medical practice, clinic, or healthcare scheduling is required.

  • Applicants must use Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, and other relevant software applications.
  • Applicants must have basic knowledge of insurance eligibility, benefit coverage, and related information.
  • Applicants must demonstrate critical thinking skills.
  • Applicants must have knowledge of Epic scheduling, registration, and communication tools.
  • Applicants must have written and verbal communication skills.
Responsibilities
  • Coordinate patient care by escorting patients to exam rooms, performing vital signs, preparing patients for examinations and discharge, and accurately documenting patient care activity.
  • Assist patients to exam and procedure rooms; obtain medical and social history, vital signs, height and weight, allergy information, and medication reconciliation information; and record the data accurately and promptly in the electronic health record.
  • Assist providers by ensuring that appropriate preparation, examinations, and diagnostic testing occur without error or delay.
  • Process patient referrals to other provider offices.
  • Prepare electronic medical record charts accurately and promptly.
  • Gather reports, laboratory results, studies, and other data pertinent to upcoming patient appointments.
  • Place orders for films, laboratory tests, and other studies as appropriate, accurately and promptly.
  • Collaborate with patient scheduling staff and schedule patients as needed.
  • Answer patient questions and requests promptly and appropriately.
  • Fax and copy necessary information for insurance companies, provider offices, and facilities.
  • Respond to patient pharmacy requests in collaboration with providers.
  • Answer phones, retrieve voicemail messages, and return calls promptly and appropriately.
  • Clean and stock rooms, copy documents, file materials, and assist with medical and office supply inventory or ordering between patients.
  • Obtain provider or patient signatures on appropriate documents.
  • Accept responsibilities only within the scope of practice.
  • Maintain and practice professional boundaries during patient interactions.
  • Coordinate department patient scheduling and verify insurance and authorizations for patient appointments.
  • Identify patients using the proper method for retrieving patient history and information.
  • Review assigned clinic referral work queues to ensure referrals and appointments are correctly linked for scheduled appointments; schedule supportive care appointments when assigned.
  • Review schedules in advance for signed and active orders, authorizations, follow-up appointments, and incomplete items; update accounts with accurate information from health plans.
  • Manage automated scheduling technologies to communicate, confirm, and update scheduled patient visits.
  • Complete confirmation calls as needed in collaboration with clinic support staff.
  • Identify expiring orders and notify appropriate clinic staff for renewal.
  • Assist in monitoring clinic readiness for The Joint Commission, California, and federal standards when applicable.
  • Collaborate with Patient Financial Services to ensure authorizations and referrals are current and appropriate when applicable.
  • Use reports to identify patients without appointments, recalls, and no-shows when applicable.
  • Demonstrate compliance with the Code of Conduct and compliance policies, take action to resolve compliance questions or concerns, and report suspected violations.
  • Perform other assigned duties.
Desired Qualifications
  • Medical Assistant certification is preferred.
  • Clinic scheduling experience is preferred.
