Requirements

Responsibilities
  • Provide support to medical care providers in an outpatient or clinic setting by rooming patients, setting up equipment and instruments, assisting with examinations and procedures, cleaning and stocking examination rooms, and documenting information in electronic patient charts.
  • Record systemic histories, obtain pertinent vital signs, perform appropriate diagnostics, and prepare for or assist with minor procedures.
  • Perform tests required for providers to diagnose patients, including vision screening, electrocardiogram tests, pulmonary function tests, and other tests within the scope of practice as ordered.
  • Perform laboratory duties such as drawing blood, obtaining blood specimens, performing urinalysis, and collecting urine and throat cultures as needed and ordered.
  • Administer immunizations, injections, and medications within the scope of practice and according to provider orders and medication-handling policies.
  • Assist physicians during minor procedures by setting up instruments and medications, responding to physician needs, and preparing instruments for reprocessing.
  • Process medication refill requests, contact pharmacies, and determine when physician review is needed.
  • Use newer technologies after receiving training.
  • Assist and educate patients on how to take their medications.
  • Manage daily schedules so patients are seen at appropriate intervals.
  • Maintain examination-room equipment and supplies, date topical medications, and remove expired materials.
  • Clean and disinfect instruments and equipment routinely and ensure instruments and devices are functional and sterilized when necessary.
  • Prepare supplies for diagnostic testing, examinations, and procedures and provide basic maintenance for clinic equipment.
  • Stock rooms with medications and supplies and place orders as needed.
  • Consult physicians about test results and alert them to positive results or abnormalities.
  • Report patient concerns, symptoms, reactions, and changes to licensed clinic personnel.
  • Serve as a liaison between medical staff and patients by answering questions, coordinating care, and providing patient education.
  • Monitor and track work requests.
  • Perform tasks safely in compliance with organizational policies and applicable regulations while maintaining a neat workstation and environment.
  • Maintain confidentiality of records and information related to patients, physicians, employees, the University, and related interests.
  • Obtain, document, and update patient information in appropriate systems.
  • Provide technical support services when needed.
  • Triage patient issues and resolve problems involving billing, patient-test coordination, appointments, and medical records.
  • Respond to patient messages and voicemails on the same day.
  • Respond to requests from doctors and technical staff during clinic, make requested phone calls, and obtain records.
  • Follow appropriate procedures for cancellations and no-shows.
  • Maintain clinic and patient flow while balancing registration requirements, appointment times, and other activities.
  • Serve as a liaison between outpatient clinics and programs on administrative matters and provide a supportive interface between patients, providers, and staff.
  • Assist providers with schedule changes.
  • Review active worklists and address patient account needs.
  • Keep clinic and patient reception areas organized and neat and maintain adequate front- and back-office supplies.
  • Abstract, scan, and catalog paper records into electronic records.
  • Support and participate in department huddles and team meetings.
  • Use electronic medical record and scheduling systems.
  • Greet patients and perform check-in and check-out processes.
  • Verify and update demographic and insurance information and confirm or obtain primary-care and referring-provider information.
  • Scan insurance and identification cards and other relevant insurance materials.
  • Explain consent, Health Insurance Portability and Accountability Act, and noncovered-services forms and obtain patient signatures.
  • Ensure patients complete questionnaires as needed.
  • Verify and obtain accurate managed-care preauthorization when required.
  • Collect copayments, deductibles, and patient fees by check, cash, or credit card and document them according to protocol.
  • Register patients using the proper registration systems and perform patient encounters in computer systems.
  • Inform patients of appointment delays.
  • Collate charts appropriately.
  • Schedule future appointments, procedures, ancillary testing, and recalls as indicated by providers.
  • Provide disposable dark glasses for dilated patients.
  • Arrange patient transportation when appropriately requested.
  • Obtain, document, and update patient information while interacting with insurers and other payors or institutions.
  • Verify coverage with insurance or health-plan carriers.
  • Coordinate registration, referral, and scheduling activities for assigned areas and ensure patients are accurately scheduled.
  • Enter validated patient registration information into organizational information systems.
  • Review scheduling templates for future availability and schedule patient appointments effectively.
  • Answer telephone lines and accommodate patients at the assigned hospital operations or ambulatory services location.
  • Provide callers with information about the department and its patient-care services.
  • Enter patient recalls for future visits in the appropriate practice-management systems.
  • Schedule appointments with conveniently located clinical faculty when patients wish to be seen in other geographic areas.
  • Obtain preauthorizations and other required documentation when making appointments.
  • Provide emergency-service locations and office hours to patients who report experiencing an emergency.
  • Perform other assigned duties or projects.
