Requirements
  • A high school diploma or equivalent is required.
  • Previous experience in medical billing or medical front-office work running eligibility checks for Medi-Cal, Medicare, and commercial plans is required.
  • Proficiency with Epic systems, specifically the Prelude and Resolute modules, is highly desirable.
  • Exceptional attention to detail and organizational skills are required.
  • Strong written and verbal communication skills are required.
  • The ability to work independently and as part of a team is required.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, is required.
Responsibilities
  • Review the Department Appointment Report for front-loading and note information that needs to be updated for upcoming patient appointments.
  • Review and update patient demographic information accurately.
  • Verify the assigned guarantor and coverage or subscriber information.
  • Verify real-time eligibility and make corrections when necessary.
  • Review the Federal Poverty Level information for completion.
  • Ensure patient data is current and correctly formatted according to organizational standards.
  • Contact patients to complete the registration workflow, including verifying demographics, guarantor information, Federal Poverty Level information, and insurance information.
  • Advise patients about needed items and documents required at check-in.
  • Inform patients of co-payments or out-of-pocket costs and collect previous balances.
  • Create patient messages detailing items needing correction at check-in.
  • Collaborate with clinical and administrative staff to gather patient information and update records.
  • Communicate with team members to resolve data discrepancies or issues promptly.
  • Communicate registration errors to the front-office manager or supervisor.
  • Audit entered data regularly for accuracy and completeness.
  • Identify and correct errors or inconsistencies in patient records.
  • Provide front-line support for Epic-related issues and escalate complex problems to the billing supervisor.
  • Assist in training new staff on the OCHIN Epic system and front-loading procedures.
  • Maintain accurate records of data-entry activities and patient-information updates.
  • Generate regular reports on front-loading performance and identify areas for improvement.
  • Perform additional duties and responsibilities as assigned by management.
Desired Qualifications
  • A related Associate’s or Bachelor’s degree is preferred.
  • A strong understanding of California Federally Qualified Health Center billing practices is preferred.
  • Proficiency in registration and billing functions within OCHIN and Epic is preferred.
