Requirements
  • Fluency in written and spoken English and either Spanish or French is required.
  • A high school diploma or GED and at least two years of equivalent experience in an administrative support role are required.
  • Proficiency with Microsoft and Google applications and equipment including printers, copiers, scanners, fax machines, and telephones is required.
  • Administrative and organizational skills are necessary to carry out the job responsibilities.
  • Strong written and verbal communication skills in English and Spanish or French are required.
  • The ability to work a flexible schedule, including occasional early mornings, evenings, and weekends, is required.
  • The ability to handle multiple priorities simultaneously is required.
  • The ability to help workers connect with service providers is required.
  • Alignment with the organization's vision and mission is required.
  • The employee must be able to lift or move materials or equipment, work outdoors in inclement weather, commute using New York City public transportation, and work in an open office space.
  • The employee must be able to handle or feel objects, tools, or controls; reach; traverse; sit or stand for extended periods; occasionally ascend or descend; and reposition themselves to move.
  • The employee must be able to lift or move up to 25 pounds.
Responsibilities
  • Staff the reception area and serve as the first point of contact for members and visitors by phone and in person.
  • Conduct the initial screening and intake process for people seeking services.
  • Maintain member records in WJP's PowerBase database and train frontline staff to conduct registration and membership in PowerBase.
  • Establish and manage a visitor triage system in collaboration with other WJP staff.
  • Manage the daily outdoor line of visitors waiting for intake and services.
  • Prepare and print appointment tickets for appointments at the Williamsburg Center and City Hall Deliverista Hub.
  • Refer clients to appropriate WJP services or service providers, including case management, trainings, wage theft assistance, and English classes.
  • Refer clients whose needs fall outside WJP's mandate and skills to partner agencies and programs.
  • Identify new referral sources and build potential partnerships to refer members and visitors to services.
  • Check and sort WJP's mail and package deliveries.
  • Occasionally assist with registration and intake at WJP events around the city, both indoors and outdoors.
  • Maintain an inventory of office supplies, food and beverages, and cleaning supplies, and order supplies as needed according to WJP's purchasing process.
  • Support the WJP team by conducting outreach and follow-up calls and text messages to members and workers participating in classes or trainings.
  • Assist with case management by connecting members with service providers or WJP program staff and conducting follow-up communication and services as needed.
  • Keep records of phone calls, emails, and messages received.
  • Produce reports and statistics from collected data on a daily, weekly, and monthly basis as needed.
  • Support the creation and printing of flyers and other materials to promote WJP programs and organizational activities.
  • Help prepare WJP correspondence for members, clients, and others.
  • Provide support with other programmatic and administrative duties as needed.
Desired Qualifications
  • An associate's or bachelor's degree is a plus.
  • Additional languages such as Bengali, Arabic, or Mandarin are a plus.
  • Experience with immigrant communities and/or worker organizing in New York City is a plus.
