Requirements
  • High school graduation is required.
  • Three years of prior experience in an office support position of similar responsibility is required.
  • Proven ability to work effectively with students of varying ages and diverse backgrounds is required.
  • Ability to prepare reports and publications is required.
  • Ability to maintain confidentiality is required.
  • Intermediate computer literacy with demonstrated ability to use Microsoft Office Outlook, Word, Excel, and PowerPoint, specialized software programs, and computer applications is required.
  • Ability to learn and apply office practices, procedures, policies, and regulations essential to the position is required.
Responsibilities
  • Perform clerical and office support for the assigned institute or department.
  • Provide phone and face-to-face customer service support to students, staff, instructors, and community members.
  • Provide information about Continuing and Professional Studies services and other college services.
  • Maintain general knowledge about the college to respond accurately to inquiries and resolve routine problems and questions.
  • Refer complex calls and questions to other institutes, departments, or campus services when necessary.
  • Act as a liaison between students and appropriate administrators or college support services to support student success and program completion.
  • Control mail distribution.
  • Draft, edit, prepare, and distribute correspondence.
  • Take, prepare, and distribute meeting minutes.
  • Maintain the office electronic calendar, appointments, and meeting arrangements using technology.
  • Organize and maintain large or complex records and files.
  • Collect, verify, maintain, and update department information using electronic media, software programs, and college information systems.
  • Complete e-requisitions, develop charts and spreadsheets, convert information to PowerPoint presentations, use SharePoint, maintain Continuing and Professional Studies webpages, and navigate, input, and export data in the Colleague system.
  • Enter course and section data into the Colleague enterprise resource planning system accurately and promptly.
  • Prepare complex documents requiring detailed knowledge of department procedures.
  • Review and verify student- and staff-related documents for completeness and compliance with division or department procedures.
  • Assist students and members of the public with completing and processing college or outside-agency forms and records.
  • Manipulate data to provide reports or other requested information.
  • Process requisitions, reconcile invoices and other documents, and prepare reports for supervisory review.
  • Identify and resolve routine discrepancies by exchanging information with students, staff, and appropriate departments.
  • Maintain budget and other department records as assigned.
  • Assist administrators with Continuing and Professional Studies-specific functions.
  • Work with other staff to ensure completion and smooth operation of Continuing and Professional Studies programs, projects, and assignments.
  • Provide functional training or assistance to other student and support staff as requested.
Desired Qualifications
  • An Associate's Degree is preferred.
  • Experience in an educational environment is preferred.
  • Outstanding customer service and communication skills are preferred.
  • Strong interpersonal and organizational skills, including the ability to develop effective working relationships with students, staff, and faculty, are preferred.
