  • At least two years of experience working in a similar role.
  • Experience in financial services, management consultancy, or a professional services environment is a plus.
  • Ability to work collaboratively and independently while managing a heavy workload and meeting deadlines in a fast-paced environment.
  • Ability to engage professionally and tactfully with colleagues at all levels across a multicultural environment.
  • Ability to maintain confidentiality and handle multiple tasks while prioritizing and managing time effectively.
Responsibilities
  • Provide administrative support to three to six senior stakeholders from specialist teams.
  • Book business travel, organize video conferences, and process expense reports, timesheets, and vendor invoices.
  • Plan external and internal meetings and events.
  • Enter and update client contact data in the customer relationship management system.
  • Collaborate with other assistants to ensure smooth execution of duties.
  • Coordinate team logistics and manage projects and client project timelines.
  • Track issues, assist with resolutions, and escalate issues as appropriate.
  • Liaise with support functions including OS, HC, DTP, Finance, and Events.
  • Liaise with the iProcurement team to ensure payment to active vendors.
  • Assist with project group hotel bookings when needed.
  • Provide coverage for executive assistants who are out of the office to ensure support for Principals, Partners, and other senior stakeholders.
  • Provide short-term coverage for Principals and Partners during executive assistant assignment transitions or onboarding.
  • Coordinate team logistics and weekly vendor payments for transportation and supplies.
  • Manage calendars by accepting and declining meetings, addressing calendar conflicts, reserving meeting space, and reviewing scheduled meetings to ensure accurate logistics and avoid back-to-back dial-ins.
  • Handle ad hoc administrative requests, including administrative support for requests for proposals and tender responses.
  • Undertake projects and produce timely, high-quality results.
