Requirements
  • A high school diploma or GED equivalent is required.
  • Three years of general office or related specialty work experience are required; coursework or training in office practices, secretarial science, or related areas may substitute for up to two years of required experience.
  • Knowledge of grammar, spelling, punctuation, file maintenance techniques, customer service techniques, assignment terminology and basic procedures, phone etiquette, and modern office practices and procedures is required.
  • The ability to communicate effectively orally and in writing, establish and maintain effective working relationships, create and maintain filing systems, answer phones and greet visitors, apply customer service techniques, prepare technical reports, perform basic mathematical calculations, use office equipment and computer software applications, perform advanced word processing, handle interruptions, assign and check work, research and prepare technical reports, and follow work direction is required.
Responsibilities
  • Answer incoming calls, take messages, and direct callers to the appropriate individual.
  • Receive and resolve or refer citizen complaints to appropriate authorities.
  • Type legal documents, letters, narrative and statistical reports, minutes, agendas, contracts, and bids using a typewriter or word-processing program.
  • Proofread and correct drafts for grammar, punctuation, spelling, and format.
  • Take dictation, transcribe tapes, and answer correspondence.
  • Compile data using research techniques and statistical compilations requiring an understanding of department programs, policies, and procedures.
  • Draft financial, statistical, narrative, and other reports as requested.
  • Follow up on court, committee, and board actions to ensure decisions are implemented, documents are prepared, and appropriate parties are notified.
  • Research the causes or remedies of errors and contact the public, vendors, agencies, groups, or individuals as needed to resolve them.
  • Maintain filing systems by deleting, purging, and destroying records according to established procedures.
  • Take and transcribe minutes, record hearings and meetings, and prepare and distribute follow-up materials.
  • Receive work from various sources and review or process it for administrative use.
  • Organize, prioritize, and coordinate production into a usable form for management analysis, review, or release.
  • Provide the public and other clients with information and policy or procedure guidelines requiring tact, judgment, and confidentiality.
  • Respond to public inquiries in person and in written correspondence.
  • Review correspondence, applications, claims, agreements, permits, and other routine documents for completeness, accuracy, or eligibility.
  • Schedule appointments, meetings, interviews, and rooms; arrange travel or events; and handle conference or event registrations.
  • Process and enter data in computer systems, compute fees, issue forms, and receive or issue payment receipts for licenses, permits, and services.
  • Record documents, prepare documents for recording, identify and log key items for recall, and track submitted and returned documents.
  • Prepare payment invoices, perform data entry, generate payment vouchers, and reconcile statements and vendor invoices.
  • Perform payroll duties including time and wage computation, leave accrual and usage, and preparation of personnel action forms.
  • Order office supplies, prepare vouchers, make purchases, maintain the stockroom, restock inventory, perform bookkeeping, and pay bills.
  • Prepare legal mailings and certifications required by state and local laws.
  • Prepare letters and supporting documents for board, committee, or hearing-body agenda items.
  • Arrange meetings, conferences, and hearings.
  • Assign, instruct, and check the work of others on a regular and ongoing basis.
  • Perform duties of the lower-level Office Technician classification series when needed.
  • Perform other related duties as required or assigned.
