About the job

Requirements
  • A bachelor's degree in Business, Finance, Operations, Engineering, or a related field is required; an MBA or equivalent is an advantage.
  • A project management certification such as CAPM or PMP in progress, PRINCE2 Foundation or Practitioner, Agile or Scrum, or Six Sigma Green Belt is preferred.
  • Eight to thirteen years of overall experience in back-office, BPO, or Financial Services domains.
  • Four to seven years of project management and execution experience, running projects or workstreams independently in a project, PMO, or transition role.
  • Advanced Excel skills, including pivots, lookups, and data modelling, and Power BI skills for KPI dashboards and portfolio reporting; strong PowerPoint skills for executive-ready status packs.
  • Hands-on experience with project management and collaboration tools such as Jira, Confluence, SharePoint, MS Teams, and MS Project or equivalent planning tools.
  • Working knowledge of project management methodologies (waterfall, agile, and hybrid) and RAID, RACI, and toll-gate or decision-gate governance.
  • Strong planning, organising, and analytical skills to turn fragmented inputs into a clear plan, clean data set, and actionable insight.
  • Working understanding of Project, Change, and Transition Management frameworks, principles, and best practices, with the discipline to apply them consistently.
  • High attention to detail and ownership, following actions, evidence, and sign-offs through to closure without being chased.
  • Adaptability and composure in ambiguous, fast-changing environments with evolving stakeholders and requirements.
  • Clear, confident written and verbal communication for cross-cultural and cross-functional stakeholder groups, including senior audiences.
  • Collaborative approach that proactively supports Project Managers and the Head of Projects and constructively challenges where data indicates a different conclusion.
  • Basic understanding of technology, application, and access or infrastructure dependencies on business projects is helpful.
Responsibilities
  • Independently manage assigned low-to-medium complexity projects, such as Transition Lite work transfers, single-workstream change or process improvement initiatives, and ad hoc GCD initiatives, from discovery through closure using SWAT and Toll Gate frameworks.
  • Act as the delivery partner to a Project Manager on large or critical Transition and Transformation projects, owning defined workstreams, deliverables, and follow-ups end to end.
  • Build and maintain integrated project plans, milestone schedules, and detailed transition plans with deliverables, dates, and named owners, keeping them baselined and current as scope evolves.
  • Track delivery against scope, schedule, and success criteria; flag variances to the Project Manager or Head of Projects early and propose corrective actions.
  • Own toll-gate evidence packs for assigned projects, tracking TG1/TG2/TG3 artefacts including Transition Acceptance Forms, Regulatory and Client Consent assessments, Tech/IT inventories, KC/KT plans, training sign-offs, and Go-Live approvals; ensure evidence is complete, filed, and signed off on time.
  • Prepare agendas, status packs, action logs, and decision logs for Tier 2 weekly tactical and Tier 3 operational governance forums, and facilitate Tier 3 forums for owned projects.
  • Maintain decision logs recording what was decided, by whom (Business, Tech, or PM), when, and why; follow through on resulting actions.
  • Contribute to Tier 1 monthly strategic oversight and PMO review packs by consolidating portfolio status, risks, escalations, and change requests.
  • Maintain project RAID logs for assigned projects, categorising risks, assumptions/actions, issues, and dependencies by type and impact, and drive owners to closure.
  • Analyse risk and issue trends to identify systemic blockers and cross-project dependencies, and present options to the Project Manager or Head of Projects.
  • Prepare escalation notes stating the blocker, impact, options, and decision required for the appropriate governance tier.
  • Co-create mitigation plans with Business Leads, Tech Leads, and cross-functional teams including TA, Academy, IT, Risk, Legal and Compliance, and Control Tower.
  • Produce weekly project updates, executive dashboards, and consolidated GCD Projects weekly updates for the Head of Projects, Executive Sponsors, and Business and Tech Leads.
  • Define, collect, and analyse project KPIs, including timeline adherence, milestone delivery, hiring and onboarding progress, KC/KT scorecards, and controlled production results, and turn them into recommendations.
  • Support capacity and headcount reporting by tracking Budget-to-Hire, FTE moves across locations, and GCD location capacity utilisation with Control Tower and Workforce Planning.
  • Build and maintain Power BI and Excel dashboards and reporting templates for consistent, repeatable, and largely automated portfolio reporting.
  • Coordinate day to day with Business Leads, Tech Leads, CD Leads, Transformation Leads, and cross-functional teams across global delivery locations to gather inputs, validate status, and close actions.
  • Maintain living stakeholder maps and RACI for assigned projects, identifying stakeholders emerging during execution and adjusting engagement accordingly.
  • Draft project communications, including kick-off notes, status updates, change notices, and meeting minutes, for executive and operational audiences.
  • Surface business decisions to Business Leads and technical decisions to Tech Leads, while taking execution-level decisions independently within the agreed plan.
  • Support scope discovery and Control Tower intake by helping LoB/BPAs complete intake forms, documenting scope, assumptions, and impacted teams, and highlighting overlaps, gaps, or conflicts.
  • Log, assess, and track change requests, including impact on timeline, effort, and headcount, and route them through the appropriate approval tier.
  • Track Knowledge Capture/Knowledge Transfer execution, training completion, and access provisioning against transition plans for moves from global high-cost locations to Client Delivery centres.
  • Prepare Go/No-Go readiness assessments and support post-project reviews, capturing lessons learned and feeding them back into team frameworks, checklists, and templates.
  • Administer and continuously improve the team's project management toolset, including Jira boards and workflows, Confluence project spaces, SharePoint evidence libraries, and reporting templates.
  • Maintain the Transition Framework, Transition Checklist, SWAT templates, and Transition Acceptance Document templates, incorporating lessons learned and stakeholder feedback.
  • Coach Project Officers on tools, templates, and governance standards, and review the quality of their trackers and reports.
Desired Qualifications
  • Exposure to transitions, work transfers, process migrations, or change programmes in a global delivery or captive centre environment is strongly preferred.
  • US/EMEA or multi-geography stakeholder experience is an advantage.
