Requirements
  • A bachelor's degree in a relevant field or a combination of equivalent education and experience is required.
  • Ability to suggestively sell.
  • Previous guest relations training.
  • Previous experience in cashiering.
  • Previous supervisory experience, preferably in a four- to five-star or Diamond-style hotel.
  • Fluency in English, both verbal and non-verbal.

Responsibilities
  • Manage all aspects of Front Office functions in accordance with hotel standards.
  • Direct, implement, and maintain a service and leadership philosophy for Front Office staff.
  • Maintain knowledge of and comply with departmental policies, service procedures, and standards.
  • Maintain knowledge of the correct maintenance and use of equipment and use equipment only as intended.
  • Anticipate guests' needs, respond promptly, and acknowledge all guests regardless of workload or time of day.
  • Maintain positive guest relations.
  • Resolve guest complaints and ensure guest satisfaction.
  • Monitor and maintain cleanliness, sanitation, and organization of assigned work areas.
  • Maintain knowledge of the surrounding area, hotel features and services, room details, rates, packages, promotions, occupancy, arrivals and departures, group activities, and hotel and departmental procedures.
  • Access all functions of the computer system.
  • Answer the department telephone within three rings using the correct greeting and telephone etiquette.
  • Ensure current information on rates, packages, and promotions is available at the Front Desk and that staff are knowledgeable about it.
  • Review daily business levels, anticipate critical situations, and plan effective solutions.
  • Prepare weekly work schedules in accordance with staffing guidelines and labor forecasts, and adjust schedules to meet business demands.
  • Ensure staff report to work as scheduled and document late or absent employees.
  • Coordinate staff breaks and assign work duties.
  • Conduct pre-shift meetings and review information relevant to the day's business.
  • Inspect staff grooming and attire and rectify deficiencies.
  • Inspect, plan, and ensure that materials and equipment are ready for service, rectifying deficiencies with personnel.
  • Monitor staff performance in all service phases and job functions and rectify deficiencies.
  • Monitor check-in and check-out, assist during critical situations, and expedite guest processing.
  • Monitor communication logs and ensure guest requests are followed up within 15 to 20 minutes.
  • Monitor safe-deposit-box procedures and audit card accuracy, signatures, and key availability.
  • Monitor guest mail and ensure it is processed according to procedures.
  • Monitor express checkouts and ensure they are processed through the system.
  • Monitor staff interactions with guests, ensure prompt and courteous service, and resolve discrepancies.
  • Assist staff with their job functions to ensure optimum guest service.
  • Observe guest reactions and confer with staff to ensure guest satisfaction.
  • Assist guests reporting lost or stolen articles in accordance with hotel policy.
  • Follow hotel requirements for guest or colleague accidents, injuries, and emergency situations.
  • Contact newly registered VIP guests 15 minutes after check-in, document each call, and resolve dissatisfaction immediately.
  • Ensure the security of guest-room access.
  • Monitor cashiering procedures for compliance with accounting policies and standards, including shortages and overages, late charges, petty cash and paid-outs, adjustments, posting charges, making change, cashing checks, foreign-currency exchange, payment processing, settling accounts, closing reports, cashier reports, balancing receipts, dropping receipts, and securing banks.
  • Review previous night's no-shows and verify billing.
  • Assist staff with expediting problem payments.
  • Anticipate sold-out situations, determine overbooked rooms, and handle overbooked or walked guests.
  • Audit surrounding hotels daily for room status, rates, discounts, and packages, and maintain a list of locations for walk situations.
  • Anticipate low-occupancy periods and coordinate room blocking with Housekeeping management to optimize labor costs, deep cleaning, and room maintenance.
  • Review arrival reports for accuracy and completeness and rectify deficiencies.
  • Ensure VIPs are pre-registered according to standards.
  • Work with Housekeeping management to ensure accurate room status, room readiness, and communication of guest concerns.
  • Print and process special-requests reports and block rooms according to specifications.
  • Print credit-check reports, review account status, and follow up on accounts beyond approved credit limits.
  • Review arriving-group resumes and organize master accounts and check-in or pre-registration procedures.
  • Review trace reports and follow up accordingly.
  • Coordinate amenity delivery times with In-Room Dining.
  • Review late-checkout requests, approve them according to occupancy, and communicate decisions to Housekeeping.
  • Review out-of-order rooms with relevant departments and determine current status and estimated return to inventory.
  • Print discrepant-room reports, research discrepancies, and enter current room status.
  • Complete nightly rate checks.
  • Monitor awareness of undesirable persons on hotel premises and contact Loss Prevention when necessary.
  • Ensure staff complete closing duties before signing out and sign off on staff paperwork.
  • Conduct a two-week formal training program for new hires and ongoing training for existing staff.
  • Provide performance feedback, handle disciplinary problems, and counsel colleagues according to hotel standards.
  • Maintain attendance calendars and records of performance or disciplinary conversations.
  • Conduct timely performance reviews.
  • Foster a cooperative working climate and maximize productivity and colleague morale.
  • Complete maintenance work orders and contact Engineering directly for urgent repairs.
  • Document pertinent information in the department logbook.
  • Complete paperwork and closing duties.
  • Complete and direct scheduled inventories.
  • Conduct monthly departmental meetings and attend designated meetings.
  • Assist with recruiting and interviewing Front Office applicants.
  • Follow up on assignments from the Director of Front Office.
  • Review assignment status and follow-up actions with the incoming Assistant Manager or Supervisor.
  • Assist with ordering supplies, tracking inventory, and completing requisitions for shortages or anticipated needs.
