Requirements
  • A minimum of a four-year degree from an accredited college or university in computer science, business administration, public administration, mathematics, or a related field.
  • At least 5 years of experience, preferably in management and operations consulting.
  • Knowledge of government contract management and experience implementing best practices in organizational effectiveness and operations management, with a solid understanding of professional services best practices and standards.
  • Ability to lead and motivate a large group of individuals, with a focus on providing a strong consumer experience.
  • Ability to analyze reports to identify opportunities for improving performance.
  • Strong proficiency with Microsoft Office applications, including Excel, PowerPoint, Word, Outlook, and Access, as well as multiple technical and analytical software tools.
  • Ability to work independently with demonstrated leadership and vision in managing staff groups and major projects or initiatives.
  • Ability to read, analyze, and interpret insurance industry journals, financial reports, and legal documents.
  • Ability to present information to top management, public groups, boards of directors, clients, and prospects.
  • Ability to work effectively in a decentralized team environment and maintain rapport with executives, management, and field staff.
Responsibilities
  • Plan, coordinate, and oversee business functions performed by other employees.
  • Support the Managing Principal and Executive Team in executing key strategies.
  • Track key initiatives and assist with execution planning and scheduling of practice and solution-area meetings and events.
  • Participate in client calls and coordinate with marketing, sales enablement, information technology, and training departments.
  • Carry out office procedures independently and resolve administrative situations and problems without supervision.
  • Perform contract administration, including printing, signing, scanning, and tracking contracts.
  • Manage Certificates of Insurance requests for project starts, including determining requirements, requesting certificates, logging requests, and sending certificates to customers.
  • Support insurance and business-license renewals, banking and tax-documentation requests, and other business operations tasks.
  • Support client-serving engagement teams with billing, project management, engagement deliverables, and project-related activities.
  • Perform financial and data analysis for business-development opportunities.
  • Coordinate business, sales, and marketing initiatives.
  • Maintain and support proposal-management systems, including pipelines, customer relationship management, bid management, and proposal development.
  • Manage reporting and analyze company performance, including revenue, organic growth, retention, and results by line of business.
  • Perform bookkeeping in QuickBooks, including entering items, running financial reports, and preparing monthly journal entries.
  • Prepare annual budgets, schedule expenditures, analyze variances, and initiate corrective actions.
  • Maintain the general ledger and bookkeeping systems for clients.
  • Prepare monthly, quarterly, and annual financial statements as needed.
  • Assist with accounts payable and accounts receivable processing.
  • Prepare periodic financial reports for the Board and present reports at Board meetings.
  • Coordinate revenue management, including service billings, fee billings, and budget comparisons.
  • Coordinate expense management, including budget-to-actual analysis and variance explanations.
  • Prepare audit-supporting work papers and coordinate with independent auditors or complete audit exemptions as applicable.
  • Process client payroll and payroll-tax reporting.
  • Record the financial impacts of intergovernmental and other agreements, assess bookkeeping systems, research improvements, and prepare long-range financial projections.
  • Act as a financial liaison for ProSidian and its clients.
  • Complete certification and representation filings for private companies, certifying organizations, and federal agencies.
  • Coordinate with offices and engagement teams on finance and operations issues and transactions.
  • Coordinate with firm leadership on invoicing, receipts, and vendor relations.
  • Assist with recruiting, selecting, orienting, and training employees.
  • Coach, counsel, and discipline employees and assist with planning, monitoring, and appraising job results.
  • Support recruiting and staffing for new and current client engagements.
  • Manage the new-employee onboarding process.
  • Maintain secure and up-to-date personnel records.
  • Review and approve hourly 1099 and W-2 contractor timesheets and schedule backups.
  • Research and answer employee payroll and benefits questions.
  • Track enrollment and personnel metrics.
  • Manage the safety-training process, including meetings, topics, attendees, and reporting.
  • Manage office facilities and vendor relationships, including supplies, phones, computers, equipment, maintenance, IT-support coordination, and office appearance.
  • Assist with implementing policies and procedures and maintain company files and documents.
  • Initiate business-continuity planning when office space is unavailable or weather conditions are unsafe.
  • Define procedures for retaining, protecting, retrieving, transferring, and disposing of records.
  • Plan and support office systems, layouts, and equipment procurement.
  • Schedule and assign employees and follow up on work results.
  • Keep management informed by reviewing and analyzing reports, summarizing information, and identifying trends.
  • Manage the day-to-day activities of supervisors and support staff.
  • Evaluate current and proposed systems and procedures.
  • Support key performance metrics and key performance indicators.
  • Directly supervise team managers, including interviewing, hiring, and training employees.
  • Support thought leadership, proposal development, information technology, operations, recruiting, and other infrastructure and growth platforms.
  • Support the development, review, and approval of reports, client proposals, research proposals, requests, and publications.
  • Ensure departmental operations comply with company policies and procedures.
  • Train and develop current and newly hired team members.
  • Recommend and implement new processes.
  • Collaborate with onsite and offsite client staff.
Desired Qualifications

  • Advanced proficiency with Excel, Access, Outlook, PowerPoint, and Word.
  • Proficiency with Adobe Acrobat, data-analytic tools, and Visio.
  • Experience supporting business development, proposal management, and sales operations.
