  • A high school diploma, GED, or higher-level degree is required.
  • Medical Assistant course completion is required if hired after March 1, 2025.
  • American Heart Association Basic Life Support certification is required.
  • Two years of experience in a medical practice, clinic, or healthcare scheduling is required.
  • Ability to communicate and interpret using medical terminology.
  • Ability to operate general office equipment, including computers, printers, scanners, and telephones.
  • Ability to organize information or data for easy retrieval and use.
  • Ability to complete training orientation programs and competencies.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, and other relevant software applications.
  • Basic knowledge of insurance eligibility, benefit coverage, and related information.
  • Critical thinking skills.
  • Knowledge of Epic scheduling, registration, and communication tools.
  • Written and verbal communication skills.
  • Ability to adapt to changing priorities and unexpected situations.
  • Ability to communicate professionally and handle difficult or stressful situations calmly.
  • Ability to work within the scope of practice.
Responsibilities
  • Coordinate patient care by escorting patients to exam rooms, obtaining medical and social history, vital signs, height and weight, allergy information, and medication reconciliation information, and accurately recording data in the electronic health record.
  • Assist providers by ensuring appropriate patient preparation, examinations, and diagnostic testing occur accurately and without delay.
  • Process patient referrals to other provider offices.
  • Prepare electronic medical record charts accurately and on time.
  • Gather reports, laboratory results, studies, and other data for upcoming appointments.
  • Place orders for films, laboratory tests, and other studies as appropriate.
  • Collaborate with patient scheduling and schedule patients as needed.
  • Answer patient questions and requests and respond to pharmacy requests in collaboration with providers.
  • Fax and copy information for insurance companies, provider offices, and facilities.
  • Answer phones, retrieve voicemail messages, and return calls.
  • Clean and stock rooms, copy documents, file records, and assist with medical and office supply inventory or ordering.
  • Obtain provider or patient signatures on appropriate documents.
  • Schedule surgeries and procedures with assigned physicians at appropriate facilities or departments, including initial scheduling and rearranging cases based on surgeon preferences or facility needs.
  • Adjust surgeon blocks to improve utilization of operative time.
  • Verify insurance and authorizations for surgeries.
  • Audit patient charts for completeness and accuracy before scheduling.
  • Schedule accurately to prevent operative or procedural delays and cancellations.
  • Capture physician requests for STAT cases and attempt to complete them within 72 hours.
  • Act as the patient liaison during scheduling by communicating surgical or procedural dates, times, itineraries, directions, and other important information.
  • Arrange preoperative and postoperative appointments.
  • Process patient communications, including written and verbal communication, patient consultations, data entry, problem delegation or resolution, and process improvement.
  • Organize work to complete assigned tasks within the required timeframe and escalate issues to leaders when appropriate.
  • Schedule interviews for appropriate departments before an intervention or surgery when applicable.
  • Accurately complete and process case updates, procedures, and supply charges as a revenue custodian for assigned departments when applicable.
  • Maintain professional boundaries during patient interactions.
  • Demonstrate compliance with the organization's code of conduct and compliance policies, resolve compliance questions or concerns, and report suspected violations.
Desired Qualifications
  • Medical Assistant certification is preferred.
