Job Summary
The Office Manager is responsible for ensuring the smooth running of the office on a day-to-day basis. This role encompasses a wide range of tasks, from overseeing administrative functions to managing office budgets, and ensuring operational efficiency.

**This position is required to be onsite, Monday-Friday during regular business hours.
Leadership and Functional Responsibilities:
Key Responsibilities:
Office Administration:
● Manage office supplies inventory and place orders as necessary.
● Handle confidential information with discretion and in compliance with company policies.
● Perform general office duties and ensure that the office is operating smoothly.
● Greet and assist visitors, clients, and staff in a professional and courteous manner.
● Coordinating with hybrid, remote employees, and visitors to schedule working space in the office as needed.
Facilities Management:
● Oversee the maintenance of office facilities, and equipment, and coordinate with relevant vendors (cleaning services, security services, etc.).
● Ensure a safe, secure, and well-maintained environment for employees.
● Maintaining and troubleshooting AV equipment with the support of our IT personnel.
Financial Administration:
● Manage office budgets, ensuring cost-effectiveness.
Event Planning and Coordination:
● Plan and coordinate office events, meetings, and conferences.
● Order food and beverages for meetings, events, and office functions, ensuring dietary preferences and restrictions are accommodated. Including arranging catering and managing event logistics.
Education and Skill Requirements:
● Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
● Excellent organizational and leadership skills.
● Strong written and verbal communication skills.
● Proficiency in MS Office (Word, Excel, Outlook, and PowerPoint).
● Ability to multitask and prioritize workloads.
● Knowledge of office management responsibilities, systems, and procedures.
● Basic accounting and bookkeeping skills.
● Bachelor’s degree in Business Administration, Management, or a related field preferred.
Supervisory Responsibility: None
Position Type/Expected Hours of Work/Physical Requirements
This is a full-time position and may require overtime hours and may require schedule flexibility depending on the timing of office events (Office conferences, Christmas parties, etc.)
● While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer keyboard reach, stoop kneel to install computer equipment
● Specific vision abilities required by this job include close vision requirements due to computer work
● Light to moderate lifting is required
● This job is 100% in office and requires daily attendance to our office
● Moderate noise (i.e. business office with computers, phone, and printers, light traffic).
● Ability to work in a confined area.
● Ability to sit at a computer terminal for an extended period of time.
