Procurement Specialist @ Flow

About the Role

As the Procurement Specialist, you will play a key role in our team. You will be responsible for sourcing home furnishings from domestic and international suppliers. With experience in the interior design or procurement industry, you will utilize your proven track record to secure the best materials and products. You will demonstrate strong negotiation skills and a deep understanding of materials, construction, production, and shipping. This role requires strong organizational skills and the ability to thrive in a fast-paced environment.

Responsibilities

Source high-quality furniture, accessories, rugs, lighting, and decor from domestic and international suppliers
Build and maintain relationships with suppliers, negotiating terms and pricing to achieve optimal results
Source new suppliers, request quotes, and evaluate potential partnerships
Develop cost-saving opportunities while collaborating with the team to maintain and improve quality standards
Collaborate with the design and project management teams to understand project requirements and timelines
Conduct Quarterly Business Reviews with key suppliers to evaluate performance and strengthen partnerships
Place purchase orders, track order status, adjust ship dates when potential delays, and communicate effectively with cross-functional teams
Manage all purchasing documentation, including purchase orders, invoices, and contracts
Monitor marketplace trends in price, suppliers, and other conditions affecting supply and demand
Monitor materials demand, suggest adjustments to production schedules, and make changes to purchase orders as needed
Oversee the entire procurement process, from initial sourcing to final delivery, ensuring compliance with company standards and policies
Manage records related to vendors and purchase orders, including order acknowledgments and freight quotes
Document and log any quality issues, submit claims to carriers or vendors for damages, and proactively communicate with all stakeholders
Pivot and act quickly to evaluate and acquire alternate supplies as needed to mitigate disruptions
Manage and resolve any issues related to product quality, delivery delays, or other supply chain disruptions
Prepare and present regular reports on procurement activities, costs, and supplier performance to leadership

Ideal Background

5+ years of experience in the interior design or procurement industry
Proven experience in sourcing furniture, accessories, rugs, lighting, and decor both domestically and internationally
Strong negotiation skills with a track record of securing favorable terms and pricing
In-depth understanding of raw materials, construction processes, production lead times, and international freight logistics
Excellent communication and interpersonal skills
Highly organized with the ability to manage multiple projects and deadlines simultaneously
Proficiency in spreadsheets (Excel or Sheets) and online tools
Detail-oriented with a strong focus on quality and accuracy
Ability to work independently and collaboratively in a fast-paced environment.
