Requirements
  • Previous experience in a Medical Staff Services Administrative position is required.
  • Previous experience as a Medical Staff Coordinator or two or more years of experience in a medical staff setting is preferred.
  • Proficiency in Cactus is critical.
  • Proficiency in data entry, typing, and computer skills using Microsoft Word, Excel, Access, Outlook, PowerPoint, and Cactus.
  • Excellent organizational, time management, customer service, and oral and verbal communication skills.
  • Ability to focus on detail while responding to multiple tasks simultaneously and work effectively in a goal-oriented team environment.
  • Ability to maintain confidentiality of proprietary information related to the position, hospital, medical staff, and allied health professional staff.
  • Ability to communicate clearly and professionally, both verbally and in writing, with a broad range of professionals and people of varying education and backgrounds.
  • Willingness to maintain a flexible work schedule as needed.
  • Ability to adapt to changing schedules, deadlines, demands, and a heavy workload.
  • Influenza vaccination is required for employment unless an approved medical exemption is granted.
Responsibilities
  • Coordinate and oversee Medical Staff Services Department functions under the direction of the System Director of Medical Staff Credentialing and Payer Credentialing.
  • Coordinate and prepare medical staff functions, including committee meetings, minutes, correspondence, and meeting materials.
  • Prepare initial appointment and reappointment application files for department director presentation and approval.
  • Process advancements after the provisional year.
  • Prepare Credentials meeting agendas with incoming applicants and other Medical Staff categories and updates.
  • Perform bookkeeping activities for the medical staff.
  • Assist with compliance related to The Joint Commission, CMS, NJBOME, and other accrediting and regulatory agencies.
  • Maintain knowledge of standards from The Joint Commission, CMS, and state and federal regulations related to medical staff organization.
  • Maintain working knowledge of Medical Staff Bylaws, Rules and Regulations, and hospital policies, and help ensure medical staff compliance.
  • Manage the flow of information among the MSO team, Credentials and MEC Committee members, Medical Staff Leadership, and the Chief Medical Officer.
  • Maintain communication with Medical Staff, Administration, Hospital Departments, practitioner office staff, Corporate Office, and related health agencies, and identify and resolve problems.
  • Provide supportive services to Medical Staff leaders.
  • Schedule and attend Medical Staff meetings, assist with agenda and materials preparation, and record minutes for specified committees.
  • Serve as Custodian of Records for files, minutes, reports, and other materials related to Medical Staff activities.
  • Compose and distribute the monthly Medical Staff Calendar.
  • Pick up and distribute medical staff mail and assign mailboxes.
  • Maintain the medical staff lounge.
  • Maintain email address groups in Outlook.
  • Work with medical staff officers on elections and provide support as needed.
  • Coordinate new physician orientation as directed by the Corporate Office.
  • Schedule applicant interviews as directed by the Corporate Office.
  • Create and maintain new provider electronic medical record access.
  • Prepare and disseminate board letters and after-board-of-trustees procedures.
  • Collect and enter AMION monthly call schedules.
  • Maintain the electronic board with current information as directed by medical staff officers and the Corporate Office.
  • Compile internal information related to focused or ongoing professional practice evaluations, performance improvement, utilization patterns, peer review, and performance information as assigned.
  • Collaborate with Quality Management to distribute OPPE reports and ensure Department Directors and Section Chiefs receive scheduled OPPE data and have access to it at reappointment.
  • Coordinate the FPPE process according to regulatory requirements and ensure new applicants undergo FPPE within established timeframes, following up with proctors or reviewers as needed.
  • Assume other related duties as assigned.
