About the Opportunity
Art Fair Inventory Coordinator | $60k
David Zwirner seeks a full-time Art Fair Inventory Coordinator to assist with the inventory and shipping aspects of domestic and international art fairs. The Art Fair Inventory Coordinator reports to the Director of Art Fairs, working closely with the Inventory Team and serving as a liaison between various gallery departments as well as crating and shipping vendors. The position requires a keen attention to detail and the ability to smoothly multitask in a fast-paced, deadline-driven environment. Position hours are Monday - Friday, 10am to 6pm. Candidate will occasionally need to work additional hours.
What you’ll do
- Regularly review art fair inventory to flag framing, conservation, and crating needs.
- Work with the New York Inventory team to coordinate transfers of art fair inventory between the galleries and warehouse.
- Obtain crating and shipping estimates; overseeing domestic and international art fair shipments and preparing packing lists, proformas, and other shipping documents.
- Condition checking select artworks and assembling collections of works that require condition checking by registrars.
- Assist Director and Art Fairs Associate with uploads of images into condition reports.
- Coordinate with Production and Registration teams to ensure fair inventory is exhibition ready.
- Update database with crate costs and dimensions; track and maintain database locations.
- Electronically file shipping documents, BOLs, and AWBs.
- Update internal calendars and shared documents with shipping dates.
- Track shipping costs and maintain budgets.

- BA (Art History or Arts Administration preferred)
- Must be detail-oriented and able to work on multiple projects at once
- Must be able to work independently and proactively
- Previous experience in inventory management, registration, or art shipping
