Requirements
  • Three to five years of experience working in mail operations.
  • Strong working knowledge of mail industry operations, with shipping and receiving operational knowledge preferred.
  • Ability to handle multiple tasks in a deadline-oriented environment.
  • Strong communication, organizational, and problem-solving skills.
  • Demonstrated ability to negotiate effectively and successfully resolve customer service conflicts.
  • Strong computer skills, including in-depth experience with spreadsheet and word processing software packages, Windows, Microsoft Word, Microsoft Excel, and mobile operating systems such as Android.
  • Proficiency in all Mail Services software systems and willingness to supplement technical knowledge with career development training courses.
  • A Department of Transportation Medical Examiner's Certificate Physical Card.
  • A current, valid Massachusetts driver's license.
  • Ability to lift up to 70 pounds and team lift 150 pounds.
  • Availability to work 40 hours per week, Monday through Friday, 8:00 a.m. to 5:00 p.m.
Responsibilities
  • Manage the administrative functions and daily operations of Mail and Distribution Services.
  • Manage mail processing and sorting, the Student Mail Forwarding Center, HUMS-managed Mail Centers, and administrative processes at Harvard University Mail Services.
  • Oversee, train, and assist in evaluating mail staff in accordance with established performance management plans.
  • Manage administrative workflow, scheduling, satellite mail center coverage, and customer service functions for Mail and Distribution Services staff.
  • Perform weekly inspections of satellite mail centers to ensure procedures are followed.
  • Oversee operations at the Student Mail Forwarding Center and ensure the forwarding process operates properly.
  • Manage customer service issues related to mail forwarding and delegate tasks as needed.
  • Manage postage metering and outgoing mail operations, including daily metering, maintaining current knowledge of postal rates and regulations, recording account information, and maintaining relationships with metering customers.
  • Assist in implementing Mail Services policies and procedures and ensure administrative staff follow established guidelines.
  • Manage customer service for Mail Services, including email and telephone inquiries, in coordination with the Manager of Delivery and Materials Management.
  • Serve as the department expert on parcel tracking systems, train Mail and Distribution Services staff on those systems, and ensure departmental guidelines are followed.
  • Oversee financial processes for Mail and Distribution Services and ensure timely monthly billing for all operations.
  • Assist the Director in setting rates and developing new business.
  • Assist the Director in developing, administering, and analyzing the department's operating budget and business plan.
  • Provide input and assistance to the Director in preparing monthly, quarterly, and annual financial and operational reports.
  • Process and manage payroll turnaround for semi-monthly, weekly, and light or temporary Mail and Distribution Services staff.
  • Participate in hiring Mail Services staff.
  • Participate in information systems planning for the unit and monitor data integrity within all systems.
  • Manage key Mail and Distribution Services projects, including FAS package distribution and Student Move-in.
  • Edit and maintain the Harvard University Mail Services website in coordination with the Marketing and Communications Manager.
  • Establish and sustain working relationships with facilities and housing offices and building managers across Harvard University.
  • Report regularly to the Director on operational issues.
  • Market Mail Services to the Harvard community and advise customers on mailing and delivery design and technical requirements and on departmental metering programs.
  • Perform related duties as required.
  • Work as critical operations personnel, including considerable reaching, bending, standing, and walking.
