Requirements
  • Requires an Associate’s degree, vocational technical degree, or specialized training equivalent to satisfactory completion of two years of college education, with emphasis in office management, secretarial science, business administration, or a closely related field.
  • Must type at least 35 words per minute.
  • Must possess a valid state driver’s license.
  • Requires over three years and up to and including five years of experience in an administrative support role.
  • Requires the ability to perform administrative work involving policies and guidelines and solve people- and work-related problems.
  • Requires the ability to perform addition, subtraction, multiplication, division, and calculations involving ratios, rates, percentages, budget allocation, and forecasting.
  • Requires the ability to read technical instructions, procedures, manuals, and charts; compose routine and specialized reports, forms, and business letters with proper format; and speak using normal grammar and word form.
  • Requires sedentary work involving occasional walking or standing, exerting up to 10 pounds of force on a recurring basis, and routine keyboard operations.
Responsibilities
  • Provide administrative support to Community Planning and Development staff by scheduling meetings and appointments, maintaining calendars, screening and sorting daily mail, composing routine and confidential letters, typing memoranda and correspondence, and making travel arrangements.
  • Review office operations and recommend policy and procedure changes to improve office effectiveness and efficiency.
  • Establish and maintain record-keeping systems and assist in maintaining accurate databases.
  • Manage customer inquiries and provide information and assistance as requested.
  • Act as a departmental liaison by assisting with staff professional-development affiliations, trainings, registrations, and memberships.
  • Maintain confidentiality of departmental proprietary information and personnel records.
  • Perform basic accounting work, including payment reconciliations, purchase requisitions, and purchase-order tracking.
  • Research and compile data and information for reports and decision-making.
  • Develop and update formal documents, including correspondence, memoranda, newsletters, and organizational charts.
  • Prepare reports, presentations, agendas, summaries, and minutes for staff, Board, Committee, Commission, and District meetings and public hearings, and attend those meetings as required.
  • Maintain and update the departmental SharePoint subsite.
  • Provide computer-based administrative support to the departmental management team, including word processing, spreadsheets, and database updating.
  • Compile data for reports, copy and file documents, order office supplies, and maintain inventory records.
  • Receive and respond to employee and public inquiries, concerns, and complaints within the area of responsibility.
  • Provide support to applicable Boards in or associated with the Community Planning and Development Department.
  • Cross-train to provide coverage for coworkers performing various administrative support duties.
  • Attend staff, Committee, and County meetings as required.
  • Attend trainings, meetings, seminars, and workshops.
  • Perform other duties as assigned.
