Requirements
  • An associate’s degree is required.
  • At least 2 years of experience in an academic or healthcare setting is required.
  • Familiarity with Accreditation Council for Graduate Medical Education requirements and graduate medical education policies is required.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint, is required.

  • An influenza vaccination is required for employment unless an approved medical or religious exemption is granted.
Responsibilities
  • Maintain current knowledge of and compliance with Accreditation Council for Graduate Medical Education institutional and program-specific requirements.
  • Assist with Accreditation Council for Graduate Medical Education accreditation activities, including site visit preparation, Milestones tracking, WebADS updates, and annual program evaluations.
  • Ensure accurate documentation and implementation of program policies, procedures, schedules, and evaluations in accordance with Accreditation Council for Graduate Medical Education and institutional standards.
  • Serve as the primary administrator for New Innovations and maintain comprehensive databases of trainee rotations, leave, call duty, certifications, milestone progress, case logs, scholarly activity, licensure, and compliance.
  • Assist with Clinical Competency Committee, Program Evaluation Committee, quarterly, and semiannual evaluation meetings by coordinating schedules, preparing materials, recording minutes, and tracking outcomes and required action plans.
  • Assist with onboarding and offboarding activities for incoming and graduating trainees.
  • Maintain accurate trainee records and files, ensuring confidentiality and completeness.
  • Monitor completion of Basic Life Support, Advanced Cardiovascular Life Support, Pediatric Advanced Life Support, United States Medical Licensing Examination, Comprehensive Osteopathic Medical Licensing Examination, and license renewals.
  • Support the Graduate Medical Education office with annual reporting requirements, including surveys and program and institutional reviews.
  • Maintain ERAS, NRMP, FREIDA, and other recruitment platforms throughout the application cycle.
  • Collaborate with administrators and program directors on educational events, including didactic sessions, grand rounds, and simulation labs.
  • Manage recruitment logistics, including ERAS application review, interview scheduling, and SOAP week support.
  • Generate reports, maintain program calendars, and support department budgeting as needed.
  • Support student clerkship rotations and facilitate scheduling and coordination of assigned students.
  • Submit and track educational reimbursements.
  • Serve as liaison between residents, program directors, faculty, the institutional Graduate Medical Education office, affiliate sites, and accrediting bodies.
  • Communicate important deadlines, policies, and program updates to trainees and faculty.
  • Support initiatives related to trainee well-being, professionalism, and inclusion.
  • Maintain office supplies, reserve meeting spaces, and coordinate event logistics.
  • Perform other tasks as directed by the administrative director and program director.
  • Support all aspects of the department’s Continuing Medical Education activities and other assigned duties.
Desired Qualifications
  • A bachelor’s degree is preferred.
  • Experience in Orthopedics, General Surgery, Internal Medicine, Anesthesiology, and/or Emergency Medicine is preferred.
  • Experience with Graduate Medical Education platforms such as New Innovations, MedHub, ERAS, and NRMP is preferred.
  • Being team-oriented and collaborative is desirable.
  • Being culturally competent and supportive of a diverse workforce is desirable.
  • Being flexible, adaptable, and proactive is desirable.
  • Being organized with strong attention to detail is desirable.
