  • One to two years of experience in a supervisor role.
  • A high school diploma, bachelor's degree, or equivalent.
  • Knowledge of and ability to apply standard precautions and procedures.
  • Knowledge of medical terminology, anatomy and physiology, clinical medicine, and other medical specialties.
  • Knowledge of regulatory agency guidelines and requirements, including Joint Commission, Occupational Safety and Health Administration, and Centers for Disease Control and Prevention guidelines.
  • Knowledge of pharmacological actions and interactions.
  • Ability to operate standard equipment.

Responsibilities
  • Organize and maintain overall business office functions, including scheduling, staffing, front-office registration, back-office operations, order tracking, payroll, quality control, and insurance verification.
  • Respond to administrative and technical questions using subject-matter expertise.
  • Resolve complex issues and share subject-matter knowledge with others in the health system.
  • Educate and improve self or others to raise performance and quality-of-care levels.
  • Recognize and utilize employees' special skills.
  • Support ongoing performance-improvement activities and apply information to actions within the work area and cross-functional areas.
  • Remain current with technologies, products, and trends in the field.
  • Ensure appropriate staffing levels by monitoring and controlling established staffing patterns.
  • Supervise office staff in accordance with department policies and procedures.
  • Address inappropriate employee behavior confidentially and professionally, plan corrective actions, and follow up.
  • Document employee behavior in writing, including positive and negative behavior.
  • Assist with performance evaluations and recommend performance increases, departmental hires, promotions, and disciplinary actions.
  • Serve as a liaison for scheduling conflicts.
  • Manage employee communications and training through established meetings and huddles.
  • Monitor error reports and provide ongoing performance feedback to employees.
  • Select employees, develop staff, and prepare employees for career advancement.
  • Provide guidance and serve as a role model to maximize individual and team performance.
  • Develop a culture that recognizes and rewards employees for achieving organizational goals and demonstrating organizational values.
  • Provide division, department, or unit with strategic and operational direction and support.
  • Support and implement change initiatives.
  • Assist the Practice Director in tracking department costs and expenses against budgetary targets.
  • Prepare statistical information and reports for management.
  • Benchmark performance metrics against internal and external sources.
  • Handle special projects, create spreadsheets and charts, and prepare correspondence, records, and notes.
  • Communicate pertinent issues to the Practice Administrator accurately and promptly.
  • Apply policies and principles to solve everyday problems and handle varied situations independently.
  • Direct and coordinate daily data entry and audits to ensure accurate statistical reporting.
  • Serve as the on-site resource for troubleshooting business-office equipment.
  • Directly supervise all office functions, including scheduling and order management.
  • Act as the on-site human resources representative, maintain employee files, and ensure compliance with regulatory and licensure requirements.
  • Maintain medical records and ensure standards and security according to organizational policy.
  • Process payroll accurately and on time.
  • Handle confidential information and matters involving staff, physicians, and directors.
