  • The position involves operating computers, fax machines, and printers; moving between departments and buildings; and regularly lifting approximately 15 to 20 pounds.
Responsibilities
  • Create purchase orders and service contracts, and code and process vendor invoices using required expense allocations while ensuring vendors bill according to contracts, negotiated rates, and property budgets.
  • Perform accounts payable duties and process invoices for the Property Management Office in a timely manner to avoid budget variances.
  • Review invoices and contact vendors regarding questionable or inaccurate billings.
  • Manage and track portfolio sustainability statistics, including waste diversion, electrical consumption, and water consumption.
  • Maintain and update insurance certificate files for contractors performing work at the properties.
  • Manage new vendor setup.
  • Execute accurate, timely billing of client work orders for billable services on a bimonthly basis.
  • Assist with scheduling contractor work and coordinate with clients.
  • Provide phone coverage and administrative support for property management operations.
  • Assist the Property Management team with gathering and entering data into property budgets.
  • Assist Property Management with promoting, establishing, and maintaining positive client relations and supporting day-to-day property operations.
  • Answer and route client and vendor phone calls and emails to the appropriate Property Management contact, and dispatch personnel based on immediate needs.
  • Assist clients and vendors with scheduling building maintenance, communicating building procedures, and providing general building information.
  • Notify the Property Manager of repeat client complaints or unusual or unreasonable situations.
  • Provide customer service and participate in the client retention program.
  • Coordinate and provide clients with weekly, holiday, and special-event notifications.
  • Update and maintain daily and emergency client contact lists and client information manuals.
  • Produce, modify, and distribute forms, spreadsheets, manuals, information packages, and other deliverables for Property Managers.
  • Maintain organized and current manual and electronic filing systems for properties, invoices, purchase orders, vendors, client work-order billings, and other files.
  • Process correspondence with clients, contractors, and other third parties for Property Management staff.
  • Assist Property Management with contract documentation while following internal-control policies and procedures.
  • Perform other assigned duties and special projects.
  • Interface verbally and in writing with client contacts, property management, leasing, construction, development, and financial teams, as well as external vendors, construction professionals, and consultants.
Desired Qualifications
  • A bachelor's degree is preferred.
  • Zero to three years of customer service experience is preferred.
  • Prior administrative experience and experience in property and real estate management are highly desirable.

BXP Announces Closing of $465 Million Financing for The Hub on Causeway

BXP, Inc. (NYSE: BXP , the largest publicly traded developer, owner, and manager of premier workplaces in the United States, together with its joint venture partner, Delaware North, announced the closing of a $465.0 million, 5.5-year, non-recourse mortgage loan secured by the podium and office tower at The Hub on Causeway in Boston, Massachusetts. "We are pleased to complete this financing, which not only enhances the strength and flexibility of our balance sheet, but also demonstrates our access to attractively priced capital in the secured mortgage market," said Mike LaBelle, Executive Vice President and Chief Financial Officer, BXP. The loan is scheduled to mature on April 9, 2031, and bears interest at a fixed rate of approximately 5.733% per annum. Proceeds from the loan were used to repay two existing loans on The Hub on Causeway having an aggregate outstanding principal balance of approximately $490 million. This transaction represents BXP's first "Green Bond" mortgage financing, underscoring the quality of The Hub as a premier, sustainable workplace and highlighting BXP's ongoing commitment to environmentally responsible development. The Hub on Causeway is a transformative transit-oriented ecosystem featuring an office tower that is home to creative and technology leaders, retail and entertainment spaces, a boutique hotel, a luxury residential tower, and a direct entrance to TD Garden and North Station.
