Requirements
  • A minimum of 2 years of Accounts Payable experience, ideally within luxury hospitality, lifestyle brands, or high-volume environments.
  • Strong understanding of end-to-end Accounts Payable cycles, vendor reconciliation, and international payment procedures.
  • Working proficiency in hotel financial systems and enterprise resource planning platforms such as SUN, Oracle, or equivalent, with strong Microsoft Excel capabilities.
  • Exceptional attention to detail, analytical thinking, and time-management skills.
  • Ability to thrive in a pre-opening environment by remaining adaptable, solutions-driven, and calm under pressure.
  • Professionalism, integrity, and discretion when handling financial information and supplier relationships.
  • Fluency in English.
Responsibilities
  • Coordinate with Purchasing, Receiving, and department leaders to ensure invoices and purchase orders are accurately collected, verified, and entered into the financial system.
  • Match invoices against approved purchase orders and receiving documentation before posting them to Accounts Payable.
  • Track payment due dates and process approved payments in alignment with financial policies and vendor agreements.
  • Maintain compliant physical and digital filing systems for invoices, purchase order documentation, and receipts.
  • Investigate discrepancies between supplier invoices and received goods or services to prevent delays and disputes.
  • Handle supplier inquiries and provide timely resolutions.
  • Liaise with vendors to document follow-ups, explanations, and outcomes, maintaining clear audit trails.
  • Reconcile vendor statements with internal records to keep payables current, accurate, and audit-ready.
  • Prepare regular Accounts Payable reports, including aging summaries and variance analysis, to support finance leadership and strategic planning.
  • Support internal and external audits by providing required documentation, explanations, and accurate records.
  • Ensure all payment activities conform to corporate finance standards and maintain complete audit trails.
  • Execute responsibilities within established standard operating procedures, financial protocols, and brand standards.
  • Partner with Purchasing, Cost Control, Receiving, and Operations to maintain alignment on payment cycles, contract compliance, and budget considerations.
  • Ensure invoices and purchase orders are validated, coded, and approved by relevant heads of department before processing.
  • Identify opportunities to improve Accounts Payable efficiency, accuracy, and innovation.
  • Uphold all Health, Safety, and Environment standards.
  • Perform additional duties or tasks as requested by leadership.
