Responsibilities
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer multiple department telephones, triage incoming calls, respond to questions, direct calls, and document messages in the appropriate software.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate employee according to their needs.
  • Work cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provide coverage for co-workers’ responsibilities when assigned or as needed.
  • Develop and promote effective methods of communicating regularly with physicians, managers, peers, trainees, and staff.
  • Maintain confidentiality of all information.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Support workflow at the UM Imaging counters by importing and exporting digital studies and documents to and from PACS or UChart, and process film jacket and CD requests by telephone, fax, or in person.
  • Use UChart-Radiant and/or Picture Archive Communication Systems to import or export digital images and report data.
  • Ensure proper distribution of radiology reports to ordering physicians.
  • Maintain accurate and complete clerical systems and records.
  • Work closely with physicians and serve as a department liaison supporting all clinical areas.
  • Oversee the release of digital information and ensure records are available to patients, physicians, and clinical staff for studies and procedures through in-person requests, fax, telephone, subpoenas, and legal requests.
  • Manage document services with the records retention vendor.
  • Adhere to the department’s service values to maintain customer satisfaction.
  • Assist with department onboarding and staff training.
  • Comply with hospital, Joint Commission, and state requirements and work with the HIPAA Privacy Office to ensure HIPAA compliance.
