Requirements
  • Previous office administration experience, ideally in insurance, financial services, or group benefits.
  • Strong attention to detail and comfort handling confidential documentation.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Strong organizational and time-management skills, with the ability to manage recurring, deadline-driven tasks.
  • Comfort working independently and in the office five days per week.
Responsibilities
  • Oversee the day-to-day administrative functions of the office.
  • Receive, sort, and distribute incoming packages, statements, and correspondence for clients, plan members, and internal recipients, including sensitive or time-sensitive documents such as contracts, legal documents, and personal correspondence, with appropriate discretion.
  • Process individual sales policies, mail them to plan members, notify advisors, and scan documents.
  • Scan cheques into the system for processing and support Accounts Payable and Accounts Receivable functions.
  • Maintain organized and accurate files of important documents and records.
  • Prepare and send mailed materials as needed.
  • Manage outgoing and incoming courier arrangements, including traveling to courier locations such as the UPS Store to drop off or pick up parcels when scheduled pickups or deliveries are missed.
  • Support various initiatives as required.
