Requirements
  • A bachelor's degree in Accounting, Finance, Research Administration, or a related field.
  • A minimum of 3 years of experience in finance management, including budget planning, analysis, and reporting, along with knowledge of general accounting principles and processes.

  • Prior experience in a basic science and/or clinical research program at a large academic institution.
  • Working knowledge of University of Washington policies and procedures, particularly those related to grant processing.
  • Prior experience with University of Washington systems, specifically Workday Finance, SAGE, and Award Portal.
  • Prior experience with federal systems such as eRA Commons and ASSIST.
Responsibilities
  • Independently manage a high-volume and complex portfolio of sponsored projects, ensuring transactions are allowable, allocable, and reasonable under sponsor and University of Washington policies.
  • Ensure compliance with applicable University of Washington and sponsor policies and procedures.
  • Authorize actions related to the establishment, continuation, and modification of sponsored programs.
  • Facilitate sub-award setup in Workday and maintain documentation of sub-recipient monitoring activities.
  • Collaborate with UW Grant and Contract Accounting on post-award management issues.
  • Manage award closeout processes.
  • Ensure accurate and timely cost-share processing where required by award terms.
  • Partner with Principal Investigators to prepare and submit required sponsor reports.
  • Provide financial reporting and analysis required by sponsors and communicate upcoming deadlines and reporting requirements to Principal Investigators.
  • Deliver reports to Principal Investigators summarizing transactions, payroll charges, and budget status for review and confirmation.
  • Establish and maintain account management procedures, including preparation and approval of monthly budget reports and reconciliation of expenditures with UW accounting systems and grant requirements.
  • Meet with Principal Investigators to review project plans, spending projections, and award milestones.
  • Consult with Principal Investigators and managers on budgets and planned financial events, and adjust projections and analysis accordingly.
  • Serve as Faculty Effort Coordinator for assigned Principal Investigator portfolios.
  • Manage subcontracts in Workday, including spend monitoring, invoice review and approval, and communication with subcontract administrative contacts.
  • Develop complex proposal budgets and compile required non-science proposal components with faculty, campus units, and collaborative or subcontract institutions.
  • Ensure proposal submission and compliance by interpreting and applying sponsor, UW, federal, and state policies, rules, and regulations.
  • Manage proposals from start to finish, create administrative proposal documents, upload documents through sponsor websites, and verify successful transmittal.
  • Manage submission workload and prioritize deadlines across multiple faculty and Principal Investigator submissions.
  • Guide Principal Investigators through changes to the federal submission process during review and award consideration.
  • Review and approve grant expenditures and purchases in Workday, verifying funding availability and compliance.
  • Oversee faculty and staff appointment details and costing allocations in Workday, and monitor payroll activity for compliance with UW and sponsor regulations.
  • Partner with the department HR team on FTE changes, student employment entries, faculty position changes, compensation changes, terminations, and leaves of absence in Workday.
  • Perform expense transfers as needed.
  • Serve as departmental backup Grant and Contract Compliance Officer and review proposal submissions for accuracy against sponsor, UW, and School requirements.
  • Communicate with the department Chair regarding proposals outside standard timelines and proposals involving cost-share requests.
  • Liaise with the School and other unit reviewers.
  • Participate in internal and external audits and respond to auditor questions and information requests.
  • Provide backup support to the Grants team for cost-share reporting.
  • Assist with onboarding and training a departmental grant manager, including oversight of stipends, appointments, and expenses on training grants and submission of tuition payments in SDB.
  • Partner with AHR, HR Managers, and the DEOHS business team to improve documentation of Workday business processes and workflows.
  • Set up and manage fee-for-service agreements, including budget tracking and customer invoicing in Workday.
  • Provide regular updates to department leadership on research activities, compliance matters, and emerging issues.
