  • The candidate must exercise empathy, tact, and discretion when handling confidential and sensitive information.
  • Experience planning and managing workshops, seminars, and events is required.
  • Experience listening actively and using advising approaches and skills is required.
  • Demonstrated experience in conflict management and negotiation is required.
  • The candidate must be able to support cross-functional teams, build consensus, and work with diverse stakeholder needs and perspectives to resolve issues.
  • A strong understanding of the needs of Engineering students, including first-year, international, academically at-risk, transfer, and exchange students, is required.
  • Candidates must be legally entitled to work in Canada.
Responsibilities
  • Build and maintain effective working relationships with stakeholders in the department, Faculty, and across campus.
  • Provide client service to students, faculty, staff, the Faculty of Engineering, central services, and external partners.
  • Provide academic advising, academic integrity support, scheduling and calendar management, admissions and recruitment support, event planning and execution, data management, and general administrative support.
  • Develop advising relationships that are student-centred and tailored to individual needs.
  • Assist stakeholders with identifying and accessing tools and resources needed to meet goals and objectives.
  • Apply change-management expertise with new stakeholders and audiences.
  • Cultivate trusted relationships with clients in one-on-one and online environments while supporting client needs and self-efficacy.
  • Facilitate group learning opportunities through workshops, presentations, events, and resources.
  • Support the development and implementation of best practices for student-centred services.
  • Provide direct student interaction and virtual advising to support the student experience in Civil and Environmental Engineering.
  • Support open houses, the Ontario University Fair, You@Waterloo Day, orientation, student awards ceremonies, convocation receptions, student-focused workshops, and internal student engagement events.
  • Provide administrative support to the Associate Chairs and Chair for undergraduate and graduate programs.
  • Conduct background research, planning, data collection, and other support for academic decision-making.
  • Serve as the first point of contact for undergraduate and graduate program policies and procedures.
  • Maintain current knowledge of undergraduate and graduate curricula and academic requirements, including admission regulations and practices.
  • Support course scheduling in consultation with the Department executive and help optimize classroom space.
  • Execute academic administrative processes, including exemption approvals, credit transfers, changes to academic standings, grade revisions, calendar changes, and academic exchanges.
  • Assist students in accessing services, resources, and programs that improve skills, resilience, academic success, and independence.
  • Monitor students repeating courses and students who are out of sync with their cohorts.
  • Provide regular reports to the Associate Chairs and Chair on the student community and factors affecting student well-being.
  • Provide triage services by identifying students at risk, screening students who need counselling, and guiding them to appropriate resources.
  • Deliver immediate support to students in distress and follow up with appropriate referrals.
  • Coach students on personal matters, including matters related to diversity, inclusion, access, and disability accommodations.
  • Maintain current knowledge of student wellness information and disseminate it to faculty and department staff.
  • Advise students and faculty on academic integrity and academic misconduct matters.
  • Provide expert information on relevant academic integrity policies and processes.
  • Work with the appropriate Associate Chair on academic offence cases and manage files accurately through completion.
  • Develop and deliver consistent, professional, and creative internal communications related to recruitment, admissions, scheduling, academic integrity, policy, and best practices.
  • Support special projects and strategic initiatives directed by the Administrative Officer, Associate Chairs, and Chair.
  • Consult with key stakeholders to understand diverse needs for special projects.
  • Contribute to department core functions, including administrative support, event planning, recruitment, and admissions.
  • Support advising and scheduling as needed to maintain operational efficiency.
  • Support senior leadership with data collection, data management, and data warehousing.
  • Support committees on matters relating to program accreditation.
  • Support Associate Chairs and program directors.
  • Serve as a resource for applying policies, procedures, guidelines, and best practices.
  • Contribute to enhancing student-centred service models.
  • Contribute to reports, presentations, and communications.
  • Support time-sensitive accountabilities of other administrative roles as required.
Desired Qualifications
  • Familiarity with an engineering discipline and relevant academic policies is an asset.
  • Experience pertaining to undergraduate and graduate programs is an asset.

The Student Venture Fund (SVF) at the University of Waterloo provides students with hands-on venture capital training by evaluating startups, conducting market research, valuing companies, performing due diligence, and making investment recommendations under supervision from finance professors and industry mentors. Students work through the full investment process, presenting ideas and executing approved investments as part of a live early-stage portfolio. The program differs from typical courses by offering an end-to-end, real-money learning experience with ongoing mentorship and industry interaction. Its goal is to develop practical VC skills in students while building real-world investment experience and expanding connections with the startup and investment community.
