  • A minimum of a four-year college or university degree.
  • A strong academic background.
  • At least three years of full-time, professional post-graduation experience.
  • Direct experience producing complex corporate or marketing events, executive gatherings, conferences, trade shows, festivals, or arts events, with accountability for successful delivery.
  • Experience serving as a named point of contact for external clients, sponsors, or partners.
  • Experience working in-house at a corporation in any function.
  • Experience managing multiple concurrent events against fixed deadlines, including event budgets and vendor contracts.
  • Comfort using project management software such as ClickUp, Asana, or Monday as a daily working tool.
  • Willingness to travel regularly for events.
Responsibilities
  • Run the full production process for assigned conferences from the 180-day milestone through post-event wrap-up, and lead milestone production meetings.
  • Create detailed run-of-show schedules and venue layouts, and manage room capacity against the final content slate and expected attendance.
  • Manage audio/visual teams on visual and audio production needs, reviewing orders line by line as content changes.
  • Review and manage rental orders and vendor requirements, and hire and coordinate temporary event staff.
  • Own vendor contracts across venue, catering, audio/visual, rentals, video, and photography, including deadlines and certificates of insurance.
  • Manage catering selections and final guarantees, and compare final numbers against projections.
  • Build and maintain the event budget from signed contracts and estimates, and track costs as scope changes.
  • Place badge, program, and signage orders against their deadlines, and coordinate shipping and staff travel.
  • Produce virtual events on platforms such as Zoom by setting up templates, managing schedules, and ensuring staffing of key roles.
  • Act as the point of contact for a roster of sponsors regarding event logistics, escalating issues as needed.
  • Administer sponsor deliverables, including advance materials, shipping of display items, and presentation media.
  • Assign sponsor table locations, and confirm sponsor and speaker registrations against the production plan.
  • Conduct post-event feedback calls and contribute to renewal rates and customer satisfaction scores.
