About this role:
As Senior Resource/Operations Manager you will be working directly with the core One Unilever @Ogilvy (OUL) Delivery community on a daily/weekly basis to ensure optimal resourcing to client delivery needs, being mindful of scope and requirements. The role will focus on the Creative and Design department and will support freelance for the rest of OUL. This role is key for advising on best practice and pro-actively advising on better ways of working to ensure long- and short-term planning is taking place.
This role is key to establish core operational models with the delivery team to ensure smooth running of the creative department from Triage through to delivery. To deliver on this, the Senior Resource Manager must understand the skill a community has, and the skills it needs to deliver award winning work. You need to be focused on the who, what, when and how, and acting as proactive solution finders to Client/PMO challenges.
The Senior Resource/Operations Manager will work daily with the Core Delivery Community and is an integral part of the team. The Core OUL Delivery Community is made up of the following roles:
- Head of Operations
- Senior Programme Director
- Global Creative Manager
- Unilever Project Management team
- Finance Lead
- Talent Acquisition
Working closely with the leaders in the business, the Senior Resource/Operations Manager, understands the diet of work the agency is producing today, tomorrow and in the future to ensure we have the right people, in the right roles, at the right time to meet changing client needs, and work with Talent Acquisition to ensure that we have the right pipeline to fulfil this. This ensures that we are delivering the best work possible, in an efficient manner, following Unilever and One Unilever (OUL) processes
This role must be confident to analyse current ways of working, suggest improvements and optimisations and own implementation to drive efficiencies with support from the Core Delivery Community.
Utilising the Resource Management by Smartsheet (10,000ft) resourcing system to ensure all job allocations and job movements are automated. This will allow the Operations team to work both within their community and peer group to bring together high performing teams; knowing which individuals are best for which briefs and who works well together. Work closely with the Core Delivery Community to ensure we are using 10,000ft to the best of our ability.
Responsibilities
The Senior Resource/Operations Manager will be the heart of the UL team, with up-to-date knowledge of who is working on what and who is skilled to deliver against the right briefs while overseeing the function and resourcing in the design craft ensuring that there is a seamless process within the department
- Manage/Run weekly meetings with the PM team to ensure correct casting of briefs and to update on status of teams/workflow
- Working daily with the Project Management team to ensure: the right resource is assigned to projects, is working against deadlines, and is retained on projects from start to finish.
- Manage all freelance bookings via the YunoJuno platform ensuring process and compliance is followed at all time
- Responsible for carrying out all IR35 assessments ensuring they are always up to date and flag any issues
- Work with the Creative Craft lead and Global Creative Manager to build a dynamic talent list, a black book of go-to talent that we can tap into when required via formal talent acquisition channels such as Yuno Juno
- Work with the Global Head of Operations on auditing processes
- Ensuring freelance timesheets are up to date and inputted into the time tracking system
- Working with other Resource Managers to create teams that blend against the project brief from across OpCos/Crafts and Capabilities. (i.e., removing duplication in roles)
- Proactively find resourcing solutions to client and Project Management challenges while ensuring the department is aligned to the ongoing changes and needs
- Grow relationships with leaders of all crafts – our global ECD (Creative) and our global Managing Partners (Account Management) to understand the overall OUL ways of working, the category creative ambitions and project prioritisations.
- Working with the OUL Core Delivery Community to ensure 10K feet is correctly utilised across the OUL team and data is correct
- Champion the Triage process – attend Triage meetings, understand a brief and the creative requirements e.g., beauty expert etc. Be able to converse with the Triage team around project resourcing and solutions. Ability to gain an understanding of prioritisation of project within the overall programme of work.
- Supporting the Creative craft lead with management of the department and ensuring increased utilisation
- Managing overall financial spend and ensuring all approvals are sought with the Finance team
- Partnering with the ECD, Creative director community, Creative Manager, to ensure correct casting of briefs and overall wellness of department
- Support TA in building and maintaining relationships with key recruiters to consistently pipeline for future talent
A bit about you:
The Senior Resource/Operations Manager will be expected to immerse themselves into the Unilever culture and be comfortable partnering with senior stakeholders, be willing to challenge, adapt very quickly and come up with innovative and creative solutions to suit the business needs. Understanding the Unilever Commercial Model and the associated ways of working the role should liaise with and work with the Project Managers when making resourcing decisions to ensure that the team are following the right commercial process, adhering to scope limitations, and tracking accordingly.
In addition to this experience in the following areas would also be advantageous:
- Demonstrates a deep understanding of agency business to deliver against people resourcing requirements
- Calm under pressure
- Experience working in a fast-paced creative agency in a resourcing role
- A strategic and pragmatic approach towards all resource management issues
- In depth/intuitive understanding of resource management tools such as 10,000ft, YunoJuno, Excel
- Can think about people planning in short and long-term bases – can spot issues and challenges before they arise and act proactively to solve
- Solid Financial/Commercial acumen
- Respect and understanding of our product and creativity
- A strategic and pragmatic approach towards all resource management issues
- Change orientation: open to new ideas and ways of working, comfortable owning process design, optimisation, and implementation
- Confident communicator with Leadership team and senior colleagues (such as ECDs, CDs, Head of Design etc.)
