  • Ability to operate effectively in a fast-paced, high-volume environment supporting senior HR leaders, prioritize competing demands, and make timely decisions by assessing urgency, impact, and risk.
  • Advanced computer skills using Microsoft Word, advanced Excel, Outlook, PowerPoint, Workday, and OnBase; ability to create and maintain tracking mechanisms, reports, and dashboards; extract and synthesize information; and learn new technologies, systems, and processes.
  • Ability to draft and edit executive-level correspondence, summaries, meeting materials, leadership-ready presentations, and other written materials with accuracy and attention to detail.
  • Expertise in complex calendaring and logistics for leaders and groups, including coordinating stakeholders, managing frequent changes, sequencing preparation, and tracking follow-through while exercising discretion and diplomacy.
  • Initiative and accountability for assigned functions, including driving projects to completion, anticipating customer needs, streamlining processes, standardizing templates, and strengthening tracking and follow-through.
  • Six years of related work experience, including four years in the same job family at the next lower level, and high school-level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
Responsibilities
  • Oversee and coordinate administrative, program, and office activities, including establishing, selecting, implementing, and coordinating office procedures and systems.
  • Serve as a principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities.
  • Oversee, instruct, and coordinate activities of support staff.
  • Oversee preparation of materials for grants, contracts, and budgets; monitor expenditures; and reconcile financial statements.
  • Provide editorial support for journals or publications by proofreading and editing material, tracking copy through editing and production stages, and communicating with authors, printers, and others involved in publication.
  • Determine administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences; assemble necessary items; determine data sources; compile, synthesize, and manipulate data; summarize findings; and write reports or portions of reports.
  • Greet visitors, answer and screen telephone calls, assess the nature of business, respond to information requests, provide assistance, and screen and respond to mail.
  • Format, keyboard, proofread, and edit correspondence, reports, manuscripts, grants, and other materials; assemble attachments; review outgoing materials for completeness, dates, and signatures; and compose substantive correspondence and written materials.
  • Coordinate travel arrangements, schedule and coordinate meetings and appointments, order and maintain supply inventory, take minutes or dictation, and perform additional functions incidental to office activities.
  • Provide administrative and operational support to Employee Relations leadership and a team of Human Resources Business Partners.
  • Manage calendars and meeting logistics, including agenda coordination, pre-reads, action tracking, and follow-up.
  • Act as a liaison with other offices and University departments, triage and resolve inquiries, and escalate sensitive or high-risk matters appropriately.
  • Maintain tracking tools, monitor key deliverables, and produce reports, dashboards, executive communications, presentations, and briefing materials for HR leadership.
  • Perform additional administrative responsibilities in a confidential Human Resources environment.
Desired Qualifications
  • Experience providing executive-level administrative support in a confidential Human Resources, Employee Relations, or comparable environment, including exposure to sensitive information, tight deadlines, and complex stakeholder coordination.
