Requirements
  • At least 5 years of work experience in an administrative and/or office management role.
  • At least 3 years of experience working with C-level or senior management.
  • Ability to communicate and interact with senior internal and external individuals with a polished, businesslike demeanor.

  • Knowledge of the structure and content of the English language, including word meanings and spelling, composition rules, and grammar.
  • Excellent written and verbal skills, including proofreading and editing skills.
  • Working knowledge of administrative policies, procedures, and organizational structure.
  • Finance and accounting skills to manage assigned budgets.
  • Negotiating skills to secure vendor contracts for office-related supplies and equipment.
  • Ability to manage office administration efficiently and within budget.
  • Ability to mentor and assist other administrative assistants and office staff.
  • Ability to maintain confidentiality and handle confidential and sensitive information appropriately.

Responsibilities
  • Provide high-level administrative support to the President and Executive Management Team.
  • Perform administrative functions including word processing, typing correspondence, memos, and reports; conducting research; compiling data; developing spreadsheets; preparing presentations; copying; and screening and answering managers’ incoming calls.
  • Prepare and manipulate clerical and administrative documents using word processing, spreadsheet, database, and presentation software, specifically Microsoft Office.
  • Schedule meetings, prepare meeting rooms, perform audiovisual equipment checks, provide refreshments, and support specified meetings.
  • Prepare for, participate in, and document meetings, including agendas and minutes.
  • Manage assigned critical activities and deliverables to ensure due dates are met.
  • Read and analyze incoming memos, submittals, and reports to determine their significance and plan their distribution.
  • File and retrieve corporate documents, records, and reports.
  • Meet with individuals, special interest groups, and others on behalf of management when requested.
  • Manage and maintain executives’ schedules, including resolving conflicts.
  • Prepare executives’ travel arrangements, compile travel expenses, review expenses against policy, and submit them for approval.
  • Establish and maintain professional rapport with customers, executives, and administrative assistants.
  • Greet visitors and determine their purpose for visiting.
  • Assist in developing, maintaining, and complying with administrative procedures and guidelines.
  • Assist in developing and managing the office fiscal-year budget and staying within budget.
  • Coordinate with building management on facility-related matters.
  • Maintain office equipment by completing preventive maintenance requirements and arranging repairs.
  • Maintain office-supply inventory, evaluate office products, place and expedite orders, verify receipts, and complete office errands and supply pickups.
  • Submit and reconcile supply orders, process invoices, and reconcile purchase-card charges.
  • Receive and sort incoming mail and deliveries and manage outgoing mail.
  • Maintain the safety, appearance, and cleanliness of the office space.
  • Coordinate with Human Resources to enter job requisitions in SuccessFactors for open positions.
  • Assist with onboarding new employees, including information-technology setup and system logins.
