Responsibilities
  • Provide friendly, pleasant, and efficient service while maintaining prescribed security standards.
  • Deal effectively with all clients.
  • Safekeep, issue, and retrieve keys according to established procedures.
  • Maintain the Key Control Information System, including data entry, report generation, and inventory checks.
  • Process and monitor lock requests.
  • Verify the accuracy and proper authorization of key and lock requests.
  • Issue keys to individuals as requested on the key permit by authorized personnel.
  • Understand the reporting structure of all departments.
  • Verify information against the original key permit when a key is returned.
  • Follow up with departments to retrieve keys for permits that have exceeded their expiry date.
  • Verify new keys and key blanks with assistance from the locksmith.
  • File keys in appropriate drawers and secure drawers after hours.
  • Understand the functions and relationships of the various key systems on campus.
  • Understand the Work Request system and space file system to assist with key distribution to contractors working on campus.
  • Enter accurate information into the Key Information database as transactions occur.
  • Verify data entry daily by comparing permit information with transaction listings.
  • Print and distribute reports to departments.
  • Serve as the first point of communication with clients regarding lock requests and lock changes.
  • Process standard lock changes.
  • Determine whether lock changes are accurate and properly authorized, accounting for department-specific key code structures and authorization limits.
  • Forward changes to standard key code structures or additions to existing key codes to the Director of Business Operations in Plant Operations.
  • Distribute hardware prepared by locksmiths to external contractors.
  • Understand existing electronic lock software and adapt to upgrades.
  • Understand the various types of locks and lock-set functions on campus.
  • Read construction drawings and hardware schedules.
  • Understand room-numbering standards to help verify that space-usage drawings for cylinder changes reflect renovation changes.
  • Perform related clerical functions, including word processing, filing, telephone operation, and mail distribution.
  • Assist shop supervisors with using the Access database system for material and inventory management.
  • Dispatch personnel vehicles to pick up and deliver personnel and materials.
  • Communicate messages and instructions to maintenance personnel.
  • Issue and receive keys, tools, and equipment for maintenance personnel.
  • Order, receive, and coordinate material flow between outside suppliers, other departments, and Plant Operations in accordance with specifications and established policies and procedures.
  • Administer documents and paperwork, including material withdrawals, purchase requisitions, blanket orders, purchase orders, and invoices.
  • Maintain rapport with vendors to support quality service and products.
  • Stay current on equipment, tools, new companies, and the reliability and cost-effectiveness of equipment and tools.
  • Use Microsoft Access to track inventory and manage material flow.
  • Help supervisors use the database and verify order accuracy.
  • Gather information from the system.
  • Match purchases with work requests and extract charge-out information for the work-request charge-out procedure.
  • Fulfill supervisors' purchasing duties in their absence.
  • Use the valid accounting values for all maintenance sections.
  • Coordinate with Central Stores for deliveries.
  • Maintain an inventory of hardware, maintenance supplies, and safety supplies in the storeroom for distribution to maintenance personnel.
  • Check equipment such as ladders, hard hats, and safety harnesses for safety concerns before issuing it to personnel.
  • Verify and return first-aid supplies after their expiry dates.
  • Resolve scheduling and interpersonal conflicts to minimize interruptions to work productivity.
  • Receive and relay messages for maintenance-shop personnel using telephone, paging, and radio equipment.
  • Schedule service-vehicle use to off-campus facilities, including the School of Architecture in Cambridge.
  • Arrange weekly cleaning of garments worn by painters and auto mechanics.
  • Coordinate window-glass damage repairs for Housing with glass companies.
  • Relay instructions from day custodians to the night shift for cleanups not completed during the day.
  • Administer first aid and distribute first-aid supplies when necessary.
  • Ensure the photocopier and printer in the storeroom are operational.
  • Open the tool crib and the back door to the shops.
Desired Qualifications
  • Experience working with MS Access-based systems is considered an asset.
  • Purchasing, shipping, and receiving skills are an asset.
