Requirements
  • At least 3 years of experience providing administrative and project support to an executive.
Responsibilities
  • Manage two changing executive calendars, vet and prioritize meeting requests, and coordinate conference calls, interviews, meetings, and complex travel bookings.
  • Schedule meetings, take and share meeting notes, and proactively identify next steps and owners.
  • Support executives as a sounding board on daily challenges, long-term projects, and vision.
  • Maintain confidentiality and discretion regarding sensitive matters and documents.
  • Conduct research, draft memos, and prepare executives for internal meetings.
  • Monitor department activity and surface staff successes and challenges.
  • File executive expenses for reimbursement.
  • Plan and execute town halls, lunches, dinners, and social gatherings.
  • Handle high volumes of internal and external stakeholder requests, answer inquiries, resolve problems, and make appropriate referrals.
  • Develop relationships across departments and leadership levels and serve as a liaison between Shows executives and internal and external stakeholders.
  • Work with the Senior Operations Manager on team events and shared resources, including the seating chart and budgets.
  • Support team operations related to hiring, goal setting, team communications, and other initiatives.
  • Manage projects from inception through post-mortem by developing agendas, tracking action items, driving logistics, scheduling brainstorms and kickoffs, establishing timelines and deliverables, communicating with stakeholders, and removing blockers.
  • Track projects transparently to ensure work remains current and progresses smoothly.
  • Coordinate contest entries and handle submissions.
  • Draft internal and external communications, including hiring announcements, job postings, and team notes about trainings and opportunities, and partner with Communications, Human Resources/Talent Acquisition, and Strategy and Operations to refine, distribute, and track them.
  • Demonstrate support for and understanding of journalistic independence and commitment to the company's mission.
