Requirements
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook, with the ability to create reports and manage data.
  • Strong written communication skills; a work or writing sample is required with the application.
  • Ability to manage multiple tasks and deadlines with strong attention to detail.
  • Ability to provide feedback to colleagues in a professional, collaborative, and non-punitive manner.
  • A valid driver’s license or willingness to commute between sites, sometimes within the same day, within reasonable timeframes.
  • An Associate’s degree in a relevant field plus at least one year of related work experience, or a Bachelor’s degree in a relevant field.
  • Willingness to undergo random drug screenings.
Responsibilities
  • Monitor client files across all programs for completeness, accuracy, and compliance with applicable regulatory, contractual, and accreditation documentation standards, including verification that counselors use person-centered treatment and evidence-based practices.
  • Identify documentation deficiencies, provide timely constructive feedback to counselors, collaborate on solutions, and escalate trends to the Quality & Safety Manager.
  • Collaborate with the Health Information Systems Analyst to develop and maintain documentation compliance reporting, track timeliness, and distribute reports to program leadership regularly.
  • Monitor treatment-hour delivery to ensure clients receive required service hours for their level of care and that daily clinical service minimums are met; flag discrepancies to program managers.
  • Coordinate and participate in peer-review processes, including chart pulls, documenting findings, and following up with clinical supervisors.
  • Maintain organized evidence files for CARF accreditation and regulatory requirements, and support preparation for and follow-up from accreditation surveys, compliance-monitoring visits, and licensing reviews.
  • Contribute to quality improvement projects through data collection, analysis, reporting, and application of continuous quality improvement methods such as PDSA cycles and process mapping.
  • Assist with administering Client Satisfaction Surveys, post-discharge Follow-Up Surveys, and the annual Treatment Perceptions Survey; compile results and help develop action plans.
  • Gather feedback from staff and clients at program locations about improving the organization’s look, feel, and experience, and bring ideas to the quality team for action.
  • Support implementation of policy, procedure, and workflow changes by working directly with program-site staff, providing guidance, answering questions, and helping teams adapt.
  • Assist program managers and clinical supervisors in identifying training needs related to documentation, compliance, and quality standards.
  • Draft, edit, and maintain policies, procedures, standard operating procedures, and training documents.
  • Provide administrative support for the Quality Management Committee.
  • Navigate and use the electronic health record platform to conduct reviews, pull reports, and verify documentation compliance.
  • Support data-integrity efforts in outcome-reporting systems.
  • Work in person across all program locations as needed and perform other duties assigned by the Quality & Safety Manager and/or Director of Quality & Innovation.
Desired Qualifications
  • Familiarity with ASAM Criteria, person-centered treatment planning, and evidence-based practices such as Motivational Interviewing and cognitive behavioral therapy.
  • Experience with CARF or other accreditation processes and proficiency with an electronic health record platform.
  • Project management certification or coursework, such as PMP or Lean Six Sigma.
  • A Bachelor’s degree in Healthcare Administration, Public Health, or a related field.
  • Registered or Certified Substance Use Disorder Counselor credentials through CAADE, CADTP, or CCAPP.
  • Experience in substance use disorder treatment.
  • Regular travel to multiple facilities and external meetings on an as-needed basis.
