Requirements
  • A bachelor's degree in a related area, or an equivalent combination of experience and training.
  • Five years of supervisory experience in an ambulatory care or access center setting.
  • In-depth clinic or center patient-care management skills, including practice-management knowledge of scheduling, customer-service methods, regulatory compliance, accreditation requirements, and/or information technology.
  • Familiarity with policies, best practices, and standards for effective clinic or center administration, and in-depth knowledge of the patient population served and service-delivery requirements.
  • Ability to organize, manage multiple priorities, and delegate work functions efficiently.
  • Managerial skills and human-resources management knowledge, including staff deployment, resource utilization, budgeting and financial management, quality improvement, and program planning and implementation.
  • Written, verbal, and interpersonal communication skills to convey complex information, instructions, and guidelines clearly and specifically, and to influence and persuade staff at all levels.
  • Knowledge of relevant healthcare and clinic-operations information technology, including billing systems and patient-care workflows and processes.
  • Knowledge of relevant regulatory requirements and related legislative, accreditation, licensing, and compliance environments.
  • Ability to work independently and in a team environment.
Responsibilities
  • Provide direct leadership and supervision to Administrative Supervisors, including conducting one-on-one meetings, performance evaluations, coaching, and professional development.
  • Oversee daily operations by rotating attendance at pod and Home Team huddles and meetings, providing intraday oversight of inbound call queues and referral workqueues, monitoring operational trends, and resolving escalated issues from Supervisors through email, chat, calls, and other channels.
  • Manage daily communications by checking and responding to email, electronic medical record inbox messages, instant messages, and Home Team Leadership inquiries, while covering Supervisor absences as needed.
  • Prepare and facilitate weekly cross-functional huddles, leadership meetings, Director/Manager meetings, and performance-scorecard reviews, and develop action plans for metrics in negative variance.
  • Review and respond to escalated trends, recurring issues, and errors from Supervisors; collaborate on solutions and escalate to the Administrative Director with action plans when necessary.
  • Approve bi-weekly timesheets and manage time-off requests for direct reports and their teams.
  • Attend and contribute to team meetings, including Director/Manager meetings, UCSF and FPO Manager meetings, and PDSAs; lead Steering Committees and PDSA sub-team activities and present topics as required.
  • Drive continuous improvement by submitting tickets, completing Leader Standard Work, reviewing Standard Work updates, and supporting training and quality-improvement initiatives.
  • Oversee staffing, onboarding, recruitment, and training, including precepting new Supervisors, creating daily staffing plans, and supporting go-live and pod-stabilization efforts.
  • Participate in special projects, performance management, new-hire orientation, and technology troubleshooting.
  • Champion the Medical Center's House and Telephone Standards and promote accountability, recognition, and exceptional customer service.
  • Serve as a liaison between Supervisors, frontline teams, service lines, and senior leadership to ensure alignment and timely resolution of operational issues.
  • Assess operational trends and risks across assigned pods using queue volumes, backlog, and agent utilization; address systemic gaps, guide operational decisions, and support sustained stability.
  • Cover real-time monitoring and daily staffing plans in a Supervisor's absence; support Supervisors with complex or high-impact issues and escalations, collaborate with Home Team leaders on problem-solving, and ensure timely resolution.
  • Review performance scorecards, quality data, and Supervisors' action plans for metrics that are not meeting goals; provide coaching and feedback and escalate as needed.
  • Implement quality-improvement systems and recommend operational performance improvements affecting marketability and service.
  • Manage center operational functions and staff; lead and attend meetings and huddles, distribute meeting notes as applicable, and maintain working knowledge of department and pod standards and policies.
  • Implement processes and metrics to ensure existing programs are viable, maintain center staffing patterns, and optimize productivity; ensure compliance with internal policies and external regulations.
  • Participate in development planning with direct reports; review employee-engagement scores, create action plans, and monitor progress.
  • Promote a workplace culture focused on meeting or exceeding patient-service standards and develop an environment that encourages creativity, efficiency, engagement, quality of care, safety, and innovation in operations.
  • Lead or participate in special projects as assigned and serve as a subject-matter expert for pod design and implementation.
  • Adjust, review, and approve timecards for direct reports; handle employee recruitment, training, performance evaluation, progressive discipline, and staff development, covering for Supervisors as needed.
  • Work with Labor Relations on performance management and operational issues as needed.
  • Ensure facilities are well-maintained, coordinate with Facilities and/or Environmental Health and Safety as needed, and conduct facilities rounds.
  • Monitor and ensure that fiscal and material resources are managed within budgetary parameters across assigned centers.
Desired Qualifications
  • A master's degree in nursing, health, or health care administration.
  • Experience with ambulatory care clinical practices and/or centralized call or referral services.
  • Experience using EMR-EPIC/APeX.
