Requirements
  • Two to three years of experience in the registration and/or financial services area is required.
  • Knowledge of third-party payors and insurance verification is required.
Responsibilities
  • Provide daily leadership to the Registration Department and lead personnel to ensure duties are performed accurately and efficiently.
  • Resolve complex registration and outpatient scheduling issues that cannot be resolved by staff.
  • Serve as the primary registration and outpatient scheduling contact for physicians, nursing managers, and other hospital departments.
  • Monitor work productivity and maintain registration accuracy rates from 95% to 100%.
  • Recommend new and updated policies and procedures that increase efficiency and promote data integrity.
  • Maintain departmental, administrative, MSDS, safety, and training manuals for the registration area, as well as Registration staff employee folders.
  • Communicate and provide education to staff on Joint Commission, state and federal regulations, and HCFA guidelines related to department activity.
  • Identify and review problem registrations, determine causes and resolutions, solicit outside input when needed, and delegate follow-up to staff.
  • Monitor daily patient schedules, volumes, and the Call Management System; assign staff based on volumes and generate daily, weekly, and monthly reports.
  • Provide daily leadership and scheduling for Registration department staff.
  • Collaborate with supervisory staff to incorporate training into registration and scheduling processes and provide in-service education on new policies and procedures.
  • Handle staff schedule changes and daily process questions.
  • Schedule and conduct interviews for new positions and recommend candidates for hiring to the Director.
  • Provide training, employee coaching, employee evaluations, work-priority assignments, and other daily operational guidance.
  • Process time edits through the payroll system and attendance records, and obtain Director approval for overtime requests.
  • Professionally address registration matters with patients, physicians, visitors, and hospital staff.
  • Monitor daily audit reports and identify process and education improvements for registration and outpatient scheduling.
  • Keep current with regulatory and insurance requirements and document and communicate changes to staff.
  • Relieve registration personnel when necessary.
  • Assume management of the department when the Director is unavailable.
  • Communicate effectively with patients, the public, coworkers, physicians and their offices, and other hospital personnel through verbal, nonverbal, and written communication.
  • Provide motivation to support acceptable department productivity and communicate staff goals and objectives.
  • Prepare staff performance evaluations, recognition, and suggested disciplinary actions for Director review; perform staff coaching and counseling as approved by the Director.
  • Hold monthly staff meetings and coordinate discussions regarding work performance and departmental and hospital updates.
  • Develop relationships with other departmental managers and coordinators to improve registration quality.
  • Review customer surveys and provide staff feedback regarding patient satisfaction and improvement opportunities.
  • Involve staff in process teams to promote participation and ideas.
  • Provide assistance and support for new employees.
  • Handle varying tasks and set priorities while following policies, procedures, and safety standards.
  • Complete required annual education assignments, work toward department goals and objectives, and participate in quality improvement initiatives.
  • Use hospital equipment and supplies appropriately and apply innovative approaches to optimize staffing and reduce expenses.
