Requirements
  • A high school diploma or GED equivalent is required.
  • At least one year of secretarial, receptionist, or administrative experience is required.
  • Highly proficient use of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, is required.

  • The position requires prolonged computer use, frequent standing and walking, exposure to children, and the ability to lift, push, or pull up to 25 pounds.
Responsibilities
  • Maintain accurate participant data and official documents in the agency database in accordance with agency policy, licensing standards, funding requirements, and federal, state, and local regulations.
  • Process invoices and reimbursements assigned to the branch office through the agency database system.
  • Greet office visitors, notify staff of their visits, and escort them to the appropriate waiting location.
  • Respond to general program inquiries or refer detailed questions to the appropriate staff.
  • Update the assigned branch office census daily and reconcile it at the end of each month.
  • Collect information from prospective foster, adoptive, and kinship parents and direct them to the database for continued verification processing.
  • Take detailed meeting notes and distribute them to staff.
  • Review, run, and update reports accurately.
  • Assist staff with clerical duties, including foster parent and stakeholder notifications.
  • Prepare training rooms and materials for office training sessions.
  • Complete the mailing process for incoming and outgoing mail, including operating postage machines when applicable.
  • Manage and order supplies and maintain sufficient inventory for normal and peak business needs.
  • Answer and direct incoming calls to appropriate staff and take messages when needed.
  • Support a positive and collaborative work environment aligned with the organization's mission and values.
Desired Qualifications
  • An associate degree or higher in Business Administration, Office Administration, or a closely related field is preferred.
  • Three years of secretarial, receptionist, or administrative experience is preferred.
  • Bilingual English and Spanish ability is preferred based on the service area and service population.
