Requirements
  • One to three years of experience in administrative or office support roles, preferably in a professional or government setting.
  • A high school diploma or equivalent is required.
  • Proficiency in managing schedules, maintaining records, and coordinating office activities.
  • Experience preparing routine correspondence and handling time-sensitive tasks.
  • Excellent oral and written communication skills.
  • Proficiency with Microsoft Office products, including Microsoft Word, Excel, PowerPoint, and Publisher, and Adobe.
  • Ability to solve problems and apply critical thinking.
  • Strong interpersonal skills.
  • Ability to operate standard office equipment and adapt to new tools or software.
  • Familiarity with government office procedures or a similar environment.
  • Commitment to confidentiality and discretion when handling sensitive information.
Responsibilities
  • Provide comprehensive administrative support, including managing correspondence, scheduling, and maintaining documentation procedures.
  • Prepare, proofread, and edit routine documents, letters, and correspondence.
  • Maintain and update calendars, schedule meetings, and coordinate travel arrangements.
  • Perform basic statistical and budgetary tasks, including data entry and spreadsheet preparation.
  • Manage office tracking systems for action items, controlled correspondence, and time and attendance records.
  • Operate office equipment, including copiers, fax machines, and phones, and ensure smooth day-to-day operations.
  • Serve as the primary point of contact for general office inquiries and provide customer service.
  • Perform additional administrative and secretarial duties as assigned.
  • Work closely with supervisors, team members, and external stakeholders to support communication and operational efficiency.
  • Support cross-functional tasks by coordinating efforts between departments or agencies.
  • Prioritize multiple tasks and meet tight deadlines in a fast-paced environment.
  • Adapt to shifting priorities or urgent requests.
Desired Qualifications
  • An associate’s or bachelor’s degree in business administration, office management, or a related field.
  • Advanced proficiency with Excel, Access, Outlook, PowerPoint, and Word.
  • Proficiency with Adobe Acrobat, data analytics tools, and Visio.
  • Ability to quickly learn other business tools and technologies.
  • Familiarity with government office procedures or experience in a similar environment.
