  • A quantifiable delivery record, such as improvements in on-time rates, cycle times, defect rates, or budget performance.
  • Command of core project management practices, including charters, schedules, critical path, RAID logs, change control, and stakeholder management.
  • Experience running Agile, predictive, and hybrid delivery and choosing the appropriate approach.
  • Hands-on experience with Jira and a work management platform such as Monday or Asana; the role requires fluency in Jira, Monday, and Confluence within the first 60 days.

  • Business acumen to understand project value and manage toward business outcomes.
  • Experience owning OKR-linked work and tying projects to the Key Results they support.
  • Daily use of Claude, ChatGPT, or similar AI tools for drafting status updates, summarizing meetings, and analyzing project data, and ability to describe workflows built with these tools.
Responsibilities
  • Own a slate of concurrent projects from intake through closeout, writing a charter for each that covers the objective, success metric, sponsor, scope, milestones, and budget where applicable.
  • Break scope into a work breakdown, realistic schedule, and critical path, and keep baselines current as work evolves.
  • Choose a predictive, Agile, or hybrid delivery approach suited to each project.

  • Close each project with a retrospective and a lessons-learned entry in Confluence.
  • Control scope by documenting each change request's impact on timeline, cost, and resources, and identifying a decision-maker.
  • Maintain a RAID log for every project and surface risks early with proposed mitigations.
  • Map dependencies between engineering and marketing and resolve them before they become blockers.
  • Manage vendor and contractor deliverables against their statements of work.
  • Publish weekly project statuses covering health, milestone progress, risks, and decisions needed.
  • Provide accurate project-level data for the portfolio view presented by the Director of Program Management to the Co-CEOs.
  • Tailor communication detail to engineers, marketers, and Co-CEOs.
  • Escalate project risks early with the problem, available options, and a recommendation.
  • Keep projects current in Jira and Monday, including owners, due dates, status, and definition of done.
  • Review legacy epics from abandoned projects with the original teams, archive or close completed or inactive work, and re-plan work that remains relevant.
  • Apply the draft intake and governance framework to live projects and report what works and what should change.
  • Build templates, checklists, and runbooks to streamline project setup.
  • Link each project to the Key Result it supports.
  • Support quarterly OKR planning and weekly check-ins in Monday by preparing data, collecting updates, and tracking follow-ups to completion.

  • Familiarity with Six Sigma, Lean, or a similar process improvement method.
  • Experience configuring Jira or Monday workflows, automations, and dashboards.
  • Experience at a founder-led company where processes are being built alongside the work.
  • A bachelor's degree or equivalent professional experience.

About the company

Reflex Media is a technology-focused maker of digital products, specializing in building websites and mobile applications for clients. Its main work involves designing, developing, and delivering web and mobile solutions, from planning and frontend/backend development to deployment and ongoing maintenance. The way its products work is through end-to-end software development: gathering client needs, designing interfaces, coding cross-platform apps or responsive websites, testing, and launching, with post-launch support as needed. Compared with competitors, Reflex Media differentiates itself by offering dedicated end-to-end development services that cover both web and mobile projects, enabling clients to get a complete product from a single team rather than coordinating multiple vendors. The company's goal is to help businesses establish or improve their online presence by delivering reliable, scalable digital products tailored to their needs.
