Requirements

  • Maintain compliance with institutional, regulatory, and payer-specific guidelines related to orthopaedic surgical scheduling and documentation.
Responsibilities
  • Schedule surgical appointments and monitor cancellations to keep the daily schedule accurate and current.
  • Complete necessary paperwork before pre-operative appointments and obtain referrals and authorizations.
  • Follow up with appropriate departments to ensure all pre-operative results are available before procedures.
  • Inform patients about visit activities and provide information about the appropriate surgical facility.
  • Advise patients of their financial responsibilities before procedures.
  • Coordinate scheduling of orthopaedic surgical procedures, including joint replacements, sports medicine procedures, spine surgeries, fracture repairs, and other musculoskeletal interventions.
  • Serve as the primary liaison between orthopaedic surgeons, physician assistants, patients, and multidisciplinary care teams for perioperative coordination.
  • Schedule orthopaedic pre-operative requirements, including imaging, medical clearances, and specialty consultations.
  • Obtain and verify insurance authorizations for orthopaedic procedures, implants, durable medical equipment, and post-operative rehabilitation services.
  • Coordinate implant, equipment, and vendor needs with hospital supply chain and vendor representatives.
  • Oversee and distribute detailed surgical schedules in alignment with surgeon block time, operating room availability, and case complexity.
  • Ensure orthopaedic documentation is complete, including surgical consents, implant logs, pre-operative checklists, and clinical notes required for billing and compliance.
  • Communicate surgical logistics and preparation instructions to patients, including pre-operative restrictions, post-operative expectations, and rehabilitation planning.
  • Collaborate with physical therapy, occupational therapy, and case management teams to coordinate post-surgical care pathways and discharge planning.
  • Monitor and prioritize urgent or add-on orthopaedic cases to ensure timely surgical intervention.
  • Identify inefficiencies in orthopaedic scheduling workflows and recommend improvements to access and operational performance.
  • Maintain accurate and optimized scheduling systems, including Epic and operating room scheduling tools, surgeon preference cards, and case duration estimates.
  • Serve as a lead resource for orthopaedic scheduling staff by providing guidance, training, and onboarding support.
  • Support patient-centered care by addressing scheduling barriers, coordinating complex cases, and providing service for orthopaedic patients.
