Requirements
  • A High School Diploma or GED is required.
  • The candidate must be able to read, write, understand, and follow directions.
  • The candidate must possess good written and verbal communication skills.
  • The candidate must be able to lift, push, or pull a minimum of 50 pounds.
  • The candidate must be able to bend, stoop, squat, and reach overhead as needed.
  • The candidate must possess good computer skills and be able to work with Microsoft Office, including developing Excel spreadsheets.
  • The candidate must possess a good financial understanding of accounts receivable, accounts payable, and balancing checkbooks.
  • The candidate must possess a good understanding of human resources.
  • The candidate must possess proven customer service skills and experience.
  • The candidate must have at least 8 years of driving experience because this is required by the company's liability insurance carrier.
  • The candidate must have a clear SBI and DMV record and maintain them during employment.
  • The candidate must have a valid North Carolina driver's license and maintain it throughout employment.
  • The candidate must have no substantiated findings on the North Carolina Personnel Registry or Health Care Program.
  • The candidate must possess knowledge of, or be willing to learn, the North Carolina Department of Health and Human Services Adult Care Home Rules and Regulations.
  • The candidate must complete a two-step tuberculin skin test, with the first test before hire and the second within two weeks of the first test.
Responsibilities
  • Provide the overall daily functional accounting, communications, and documentation requirements for the assisted living community's financial and personnel records while maintaining confidentiality.
  • Respond and act in the absence of the Administrator or Executive Director.
  • Manage internal and external business-office communications, including answering and transferring telephone calls, taking accurate messages, greeting visitors, composing and typing correspondence, receiving and distributing facsimiles, handling mail, and notifying the Director of resident, family, or staff concerns.
  • Understand and follow all regulations required by the Health Insurance Portability and Accountability Act.
  • Work cooperatively with staff and maintain positive communication with residents, families, service providers, vendors, and regulatory agencies.
  • Manage business-office accounts receivable and accounts payable, including assisting prospective and new admissions with resident finances and payment options.
  • Create and mail monthly invoices, receive and deposit resident checks, maintain accurate records and reports, and submit financial information to the home office according to policy.
  • Follow up with Supplemental Security Income, Social Security, state assistance, and families, and assist with collections.
  • Manage resident funds, distribute funds according to facility policy, maintain personal-funds accounting records and cash balances, and pay resident bills upon written request.
  • Manage facility petty cash, pay vendors, recap transactions for the home office, maintain documentation, and report budget discrepancies to the Director.
  • Ensure home-office payables are sent to the responsible home-office contact.
  • Maintain resident attendance sheets and submit them weekly to the home office.
  • Post positions, screen and route applicants to the Administrator or Designated Manager, and carry out the hiring process in ICIMS.
  • Complete new-hire paperwork and maintain employee records.
  • Ensure prerequisites and training remain current for newly hired and current staff.
  • Maintain staff attendance sheets and process payroll.
  • Maintain workers' compensation records and documentation, including annual Occupational Safety and Health Administration posting requirements.
  • Ensure current and applicable labor laws are posted where staff can access them.
  • Understand and communicate personnel policies.
  • Order and maintain office-supply inventory.
  • Clean office equipment routinely and report maintenance issues to the appropriate vendor or home office.
  • Maintain a current list of residents and room locations.
  • Maintain emergency face sheets, distribute them to management staff, and update resident charts.
  • Maintain the business office in a neat and orderly condition, including daily filing and office presentation.
  • Keep necessary forms copied and updated.
  • Act on behalf of the Administrator or Director during their absence, including overseeing community operations and ensuring quality care and state regulations are maintained.
  • Participate in and assist with community events.
  • Attend required training, which may include overnight travel.
  • Perform other duties as required and requested by the Administrator or Director.
