Requirements

Responsibilities
  • Provide support to medical care providers in an outpatient or clinic setting by rooming patients, setting up equipment and instruments, assisting providers with examinations and procedures, cleaning and stocking examination rooms, and documenting information in electronic patient charts.
  • Record systemic history, obtain pertinent vital signs, perform appropriate diagnostics, and prepare for or assist with minor procedures.
  • Perform all necessary tests for providers to adequately diagnose patients.
  • Perform screening tests, including vision testing, electrocardiogram testing, pulmonary function testing, and other tests within the scope of practice as ordered.
  • Perform laboratory duties such as drawing blood, obtaining blood specimens, performing urinalysis, and collecting urine and throat cultures as needed and ordered.
  • Administer immunizations, injections, and medication within the scope of practice and according to provider orders and applicable handling and storage policies.
  • Assist physicians during minor procedures by setting up instruments and medications, responding to physician needs, and preparing instruments for reprocessing.
  • Process patient medication refill requests, contact pharmacies, and determine whether physician review is needed.
  • Assist and educate patients on how to take their medications.
  • Manage the daily schedule so patients are seen at proper intervals.
  • Maintain, clean, disinfect, stock, and perform basic maintenance on examination rooms, clinic equipment, instruments, devices, medications, and supplies; place orders as needed.
  • Consult physicians concerning test results and alert them to positive results or abnormalities.
  • Report patient concerns, symptoms, reactions, and changes to licensed clinic personnel.
  • Serve as a liaison between medical staff and patients by answering questions, coordinating patient care, and providing patient education.
  • Monitor and track work requests.
  • Perform tasks safely in compliance with organizational safety policies and applicable regulations while maintaining a neat workstation and environment.
  • Maintain confidentiality of patient, physician, employee, university, and organizational records and information.
  • Obtain, document, and update necessary patient information in the appropriate systems.
  • Provide technical support services where needed.
  • Triage patient issues and resolve problems involving billing, patient tests, appointments, and medical records.
  • Respond to patient messages and voicemails on the same day.
  • Respond to requests from doctors and technical staff, make calls, and obtain records as needed.
  • Follow appropriate procedures for cancellations and no-shows.
  • Maintain clinic and patient flow while balancing registration requirements, appointment times, and non-appointment activities.
  • Serve as a liaison between outpatient clinics and programs on administrative matters and provide a supportive interface among patients, providers, and staff.
  • Assist providers with schedule changes.
  • Review active worklists and address patient account needs.
  • Keep clinic and patient reception areas organized and neat.
  • Assist with abstracting, scanning, and cataloging paper records into electronic records.
  • Support and participate in department huddles and team meetings.
  • Greet patients and perform check-in and check-out processes.
  • Interface with electronic medical record and scheduling systems.
  • Verify and update demographic and insurance information, and confirm or obtain primary care provider and referring provider information.
  • Scan insurance and identification cards and other pertinent insurance materials.
  • Explain consent, HIPAA, and noncovered-services forms and obtain required patient signatures.
  • Ensure patients complete questionnaires as needed.
  • Ensure managed-care preauthorization is present and accurate when needed.
  • Collect copayments, deductibles, and patient fees by check, cash, or credit card and document them according to protocol.
  • Register patients in the proper registration systems and perform patient encounters in computer systems.
  • Inform patients of appointment delays.
  • Collate charts appropriately.
  • Schedule future appointments, procedures, ancillary testing, and recalls as indicated by providers.
  • Provide disposable dark glasses to patients who have been dilated.
  • Arrange patient transportation upon appropriate request.
  • Obtain, document, and update patient information while interacting with insurance companies and other payors or institutions.
  • Verify coverage with the appropriate insurance or health care plan carrier.
  • Coordinate registration, referral, and scheduling activities for assigned areas.
  • Enter validated patient registration information into organizational information systems.
  • Review scheduling templates for future appointment availability and schedule patient appointments effectively.
  • Answer telephone lines and make necessary patient accommodations in the assigned hospital operations or ambulatory services location.
  • Provide callers with information about the department and its patient-care services.
  • Enter patient recalls for future visits in the appropriate practice-management systems.
  • Schedule appointments with conveniently located clinical faculty when patients wish to be seen in other geographic areas.
  • Obtain preauthorizations and other required documentation, including pertinent notes from previously seen providers, when making appointments.
  • Provide the location and office hours of emergency services to patients who report an emergency.
  • Perform other assigned or requested duties and projects.
