Requirements
  • C2 or near-native English proficiency, written and spoken.
  • At least 8 years of experience as a business-operations generalist spanning business operations, accounting and fund administration, sales, marketing, and investor relations.
  • Experience in the investment management or capital markets industry.
  • Hands-on accounting experience across profit and loss, balance sheet, and cash flow, with the ability to review fund net asset values.
  • Experience thriving in a fast-paced, early-stage startup with ambiguity and rapid change.
  • Experience owning and improving processes across recruiting and people operations, business operations, finance and fund operations, investor relations and executive support, and sales and marketing.
  • Ability to learn and optimize modern software tools quickly.
  • Hands-on ability to build artificial intelligence workflows and agents to eliminate manual work.
  • Exceptional organization, follow-through, and end-to-end ownership of outcomes.
  • Sound judgment and discretion when handling confidential investor, financial, and personnel information.
Responsibilities
  • Run the full recruiting cycle, including sourcing coordination, scheduling, candidate communication, and interview logistics.
  • Own onboarding and offboarding end to end.
  • Maintain accurate and current human resources systems, records, and people processes.
  • Maintain the firm's operating cadences, including Monday kickoffs, weekly reviews, Friday closes, and quarterly business reviews, and improve them over time.
  • Own calendars and cross-functional coordination for leadership.
  • Administer vendors, subscriptions, and tools, consolidating and automating them where appropriate.
  • Build reporting and metrics for weekly and quarterly operating cadences and automate the underlying data pulls.
  • Document and continuously improve internal playbooks, identifying processes for automation.
  • Manage company expenses and the Ramp corporate-card program, including categorization, receipts, and policy adherence.
  • Coordinate vendor invoices, payment scheduling, and reimbursements.
  • Support payroll, equity, and records administration, and assist the bookkeeper and Head of Operations in maintaining clean financials.
  • Partner with the Head of Operations on fund operations and execute delegable tasks end to end.
  • Review monthly net asset values before Head of Operations sign-off, coordinate month-end work with Fundviews, and help reconcile positions and cash.
  • Process investor subscriptions, redemptions, and transfers, and maintain accurate know-your-customer and anti-money-laundering onboarding records and the investor register.
  • Help run capital calls, distributions, and fee calculations, and coordinate related payments.
  • Pull fund control-book data for quarterly fact sheets and investor performance reporting.
  • Support fund formation during launches by opening accounts, registering with relevant authorities, and collecting and reviewing documentation.
  • Master the firm's tool stack and optimize each system for actual workflows.
  • Identify repetitive work and redesign processes using artificial intelligence and agentic workflows.
  • Build and prototype automations and agents with the Chief of Staff and Agents.
  • Track time saved and reliability as work moves from manual to automated.
  • Triage and manage the investor-relations inbox, routing, prioritizing, and following up on messages.
  • Respond to investor questions in the firm's voice and escalate matters requiring the Head of Operations or investor-relations team.
  • Coordinate investor-relations logistics and quarterly board materials, including preparation, scheduling, and follow-through.
  • Manage travel and itineraries for founders and the leadership team.
  • Track action items across leadership workstreams.
  • Support outbound sales campaigns and sequences by drafting and refining messaging before handing it to the Head of Sales.
  • Improve communication and outreach quality across channels.
Desired Qualifications
  • Hands-on experience building automations or artificial-intelligence agents using tools such as Zapier, Make, or agent frameworks, or a clear eagerness to learn.
  • Recruiting, human resources, or people-operations experience.
  • Experience supporting investor-relations, finance, or professional-services teams.
  • Comfort interacting directly with founders, investors, and executives.
  • Background in financial services, asset management, or investment management; strong interest and rapid ramp-up may substitute for direct exposure.
