Requirements
  • A high school diploma or equivalent and two years of related work experience, including one year in the Facilities Customer Service Department, or an equivalent combination of education and experience, are required.
  • Customer service, control center, and emergency response experience are required.
  • Typing and keyboarding skills are required.
  • Familiarity with Microsoft Office and the ability to use multi-line telephones and office equipment, including copiers, scanners, and printers, are required.
  • The ability to articulate professionally is required.
  • The ability to react to stressful situations in a calm and professional manner is required.
  • National Incident Management System certification is required within one year.
  • The annual emergency scenario practical testing must be passed.
  • Participation in the required on-call rotation is required.
Responsibilities
  • Respond to service calls and requests by telephone, email, web-based channels, and social media from University and non-University community members.
  • Troubleshoot service requests, with special attention to critical situations.
  • Determine appropriate responses based on the nature, criticality, and urgency of requests.
  • Create and dispatch work orders to appropriate personnel and departments based on request level and severity.
  • Determine which service calls should be elevated to emergency status.
  • Determine whether work requests are billable.
  • Obtain and verify Workday and FRS accounts to ensure accurate service billing.
  • Continuously monitor and respond to building automation system alarms involving life safety, criticalities, field panel failures, refrigeration, plumbing, HVAC, electrical systems, generators, building controls, and research projects.
  • Analyze multiple alarms and compare them with shutdown notices or control center shutdowns to identify mechanics working in the area.
  • Obtain authorization to contact internal Facilities staff or other University personnel.
  • Prepare emergency documentation using the National Incident Management System approach and follow emergency protocols.
  • Contact the appropriate on-call supervisor or manager and senior leadership about emergencies, and respond according to their direction.
  • Contact external vendors, utilities, and University stakeholders, and determine the response level based on emergency severity.
  • Enact the University Emergency Operations Center when directed by the EOC Commander, assist with communication and dispatch during heightened emergencies, and close the EOC as directed.
  • Document step-by-step actions during emergencies in the electronic emergency log.
  • Dispatch and provide updates throughout emergencies as necessary.
  • Submit the emergency log and summary to stakeholders within one hour after the emergency is cleared by Public Safety or Facilities leadership.
  • Maintain, promote, and support a safe and positive working environment.
  • Assist with training and shadowing newly hired Operations Support Specialist staff and prepare new staff for the end-of-training exam.
  • Manage the CSC Control Center program containing critical facilities information, including absences, shutdowns, staff work locations, weekend and holiday hours, after-hours coverage, on-call information, off-site information, elevators, fire panels, vehicles, critical phone numbers, and waste and recycling.
  • Update on-call personnel and contact information.
  • Monitor the National Oceanic and Atmospheric Administration weather system per Environmental Health and Safety requirements and monitor the Public Safety two-way radio.
  • Respond to after-hours parking customer phone inquiries, after-hours SMH Environmental Services work orders, and phone support requests for various departments.
  • Assist with resolving facilities operational problems within defined schedules and service-level agreements.
