Responsibilities
  • Organize and maintain paper and electronic project files and drawings.
  • Update and maintain Construction Department building standards, rules and regulations, and preferred vendor lists, and distribute them as appropriate.
  • Update and maintain agreements and contracts, tracking and communicating signature status.
  • Facilitate contract preparation, execution, and distribution accurately and promptly.
  • Code invoices accurately and promptly, follow up with vendors on invoice corrections as directed by Construction Managers, and communicate deadlines to the Construction Department.
  • Serve as the point person for Certificates of Insurance and ensure vendors are current in the system.
  • Communicate frequently, verbally and in writing, with executive-level business partners and tenants while representing the company professionally.
  • Prepare presentation materials and coordinate preparation of Construction Department materials for periodic department and Regional meetings.
  • Review and approve contractor access requests for correct building and project information, confirm approval for access to other tenant spaces, and distribute requests to appropriate departments promptly.
  • Assist with preparing department proposals, external Requests for Proposals, contracts, and notices.
  • Compose, edit, and type letters, memorandums, and transmittals.
  • Compile, organize, and finalize documents for signature or distribution accurately.
  • Maintain department filing systems and paper and electronic department files, following records-retention and destruction procedures in the Records Management Policy.
  • Schedule conference rooms and arrange catering and meeting details.
  • File and submit expense reports.
  • Manage invoices, billing, expenses, credit card statements, and employee reimbursements for the Construction Department.
  • Pick up, sort, open, deliver, or process incoming and outgoing mail, packages, and internal correspondence.
  • Arrange courier or overnight services.
  • Operate office equipment, including copiers, scanners, plotters, conference-room audiovisual presentation equipment, and telephones with voicemail.
  • Submit requests and order supplies as needed.
  • Provide relief to receptionists as part of the Administrative team.
  • Complete special projects or assignments requested by departmental staff and perform other duties assigned by the manager.
  • Support regular communications with representatives of public agencies, architects and design professionals, prospective tenants, and contractors.

BXP Announces Closing of $465 Million Financing for The Hub on Causeway

BXP, Inc. (NYSE: BXP , the largest publicly traded developer, owner, and manager of premier workplaces in the United States, together with its joint venture partner, Delaware North, announced the closing of a $465.0 million, 5.5-year, non-recourse mortgage loan secured by the podium and office tower at The Hub on Causeway in Boston, Massachusetts. "We are pleased to complete this financing, which not only enhances the strength and flexibility of our balance sheet, but also demonstrates our access to attractively priced capital in the secured mortgage market," said Mike LaBelle, Executive Vice President and Chief Financial Officer, BXP. The loan is scheduled to mature on April 9, 2031, and bears interest at a fixed rate of approximately 5.733% per annum. Proceeds from the loan were used to repay two existing loans on The Hub on Causeway having an aggregate outstanding principal balance of approximately $490 million. This transaction represents BXP's first "Green Bond" mortgage financing, underscoring the quality of The Hub as a premier, sustainable workplace and highlighting BXP's ongoing commitment to environmentally responsible development. The Hub on Causeway is a transformative transit-oriented ecosystem featuring an office tower that is home to creative and technology leaders, retail and entertainment spaces, a boutique hotel, a luxury residential tower, and a direct entrance to TD Garden and North Station.
