Responsibilities
  • Provide a customer-focused reception service to students and visitors.
  • Provide a professional helpdesk and telephone service, answering calls promptly and helpfully.
  • Handle customer and visitor enquiries using HubSpot, email, the website, telephone, and in-person channels, and provide appropriate advice and information.
  • Maintain high customer-service standards and model excellent service delivery.
  • Issue and collect visitor passes and manage sign-in and sign-out processes.
  • Support student check-in and check-out activities.
  • Support planning and delivery of tenant engagement events throughout the year, including capturing social media content.
  • Manage booking out and return of keys and fobs and coordinate replacement of lost keys or fobs.
  • Assist with open days and conduct viewings.
  • Provide and display information to students about travel, events, luggage storage, and tenancy procedures.
  • Sort incoming and outgoing post and parcels and log correspondence.
  • Address local community issues and escalate them to the Senior Property Manager for intervention when required.
  • Carry out general administration and office support, including typing, photocopying, scanning, filing, and ordering stationery from the approved list; maintain databases and spreadsheets as required.
  • Prepare and clear booked meeting rooms, ensuring required audiovisual equipment and refreshments are provided.
  • Manage sign-in for external parties, including contractors, and ensure permits to work are in place.
  • Follow health and safety working practices and provide visitors and subcontractors with information about company processes.
  • Log reported faults, prioritise and monitor their status, and liaise with the Property Team to support service key performance indicators.
  • Respond to emergencies professionally and diligently.
  • Follow complaints procedures; receive, log, and attempt to resolve customer complaints to support continuous service improvement.
  • Involve and consult customers to shape, improve, and deliver services to their needs, promoting the student experience through entertainment and involvement.
  • Monitor student welfare issues and promptly report problems or unusual behaviour to the line manager.
