Requirements
  • A Bachelor of Science or Bachelor of Arts degree is required.
  • Two to four years of work experience is required.
  • Strong technical skills with Microsoft Office 365, including Excel, Word, SharePoint, Outlook, and Teams, as well as Adobe Acrobat and other analytical tools.
  • Ability to work effectively in a team-oriented environment.
  • Analytical and problem-solving skills with strong attention to detail and organization.
  • Written and interpersonal communication skills sufficient to interact with management and senior leadership.
  • Customer service skills.
  • Knowledge and experience in finance and general accounting practices, standards, and regulations.
Responsibilities
  • Record, identify, assign, and apply incoming check and automated clearing house or wire payments, and support the check deposit process.
  • Identify payments through accounts receivable and contract review, sponsor portals, and coordination with other departments.
  • Record incoming automated clearing house and wire payments in the research bank account against research and customer accounts receivable.
  • Manage unidentified and unapplied payments, coordinate with other departments, and resolve non-research payments received in the research bank account.
  • Maintain and reconcile the payment log, research clearing accounts, and research bank account.
  • Perform ongoing and retroactive reviews of unapplied and in-progress payments for pending grant setups and pending accounts receivable.
  • Prepare and process entries for cash corrections, sponsor refunds, write-offs, and grant closeouts.
  • Review and reconcile on-account payment balances and work with the billing team and stakeholders to resolve discrepancies.
  • Identify and support sponsor refunds, manage and record refund requests in the financial system, and ensure complete settlement of refund payments through Accounts Payable.
  • Complete reconciliations of Letter of Credit payment auto-applications, resolve on-account balances, and work with analysts to resolve accounts receivable gaps.
  • Support collection efforts with analysts, associate directors, and the director.
  • Research payments and follow up on open accounts receivable.
  • Support the review and resolution of bad debt and process write-offs.
  • Review payment application discrepancies and reconcile payments for grant closeout.
  • Develop standard operating procedures and desk procedures and recommend process improvements.
  • Support leadership with audit requests, ad hoc assignments, and reports.
  • Assist with internal and external audits by obtaining supporting documentation for review.
  • Prepare financial reports after monthly financial close for the leadership team.
  • Maintain incoming-payment data in the financial system and payment logs in SharePoint.
  • Support award-related work and train the university research community as needed.
  • Work with associate directors and directors on fiscal compliance for cash management, accounts receivable monitoring, and invoicing.
  • Stay current with federal regulations, sponsor rules, regulations, policy changes, and institutional best practices.
  • Participate in sponsored research initiatives and projects and lead adoption of best practices for continuous improvement.
  • Use virtual private network access and work completely electronically across Workday Finance, grant systems and portals, SharePoint, Microsoft Teams, and other required platforms.
  • Collaborate with NU-RES and colleagues in Administration, Accounts Payable, Procurement, Treasury Services, University Advancement, and Student Financial Services.
Desired Qualifications
  • Experience in business-to-business accounting and accounts receivable, including work with local and federal agencies, is preferred.
